Plexcon Construction Inc. is a Toronto-based design-build contractor specializing in multiplex conversions, laneway and garden suites, and custom home projects.
With over 15 years of experience and 145+ residential rental suites completed, we help homeowners and real estate investors maximize property value through strategic design and construction.
We're seeking a Construction Project Administrator / Coordinator to join our growing team — a detail-oriented professional who can manage documentation, budgets, and project coordination with precision and confidence.
Key Responsibilities
- Document Control: Maintain organized project files, including contracts, drawings, permits, and change orders.
- Blueprint Reading: Interpret architectural and structural drawings to confirm scope and materials.
- Contract Administration: Prepare and track subcontracts, insurance certificates, and compliance documents.
- Cost Management: Monitor budgets, track change orders, and forecast project costs.
- Financial Coordination: Process progress billings, verify invoices, and assist with draw submissions.
- Procurement: Obtain quotes, compare vendor bids, and manage purchase orders and deliveries.
- Vendor Onboarding: Collect W9s, insurance certificates, and banking details.
- Client Reporting: Prepare weekly progress updates and milestone reports.
- Project Coordination: Communicate with subcontractors, suppliers, and consultants to resolve issues promptly.
- Permitting & Compliance: Track building permits, inspections, and ensure OBC compliance.
- Task Management: Maintain checklists, track milestones, and follow up on deliverables.
Qualifications
- 2+ years' experience in construction administration, coordination, or project accounting with QB ONLINE or similar.
- Ability to read and interpret blueprints and construction drawings. Use of Auto CAD or other related software an asset.
- Understanding of contracts, budgets, change orders, and cost control.
- Excellent communication and organizational skills.
- Proficiency with Google Workspace / Microsoft Office; experience with Buildertrend, Procore, or is an asset.
- Spreadsheet and budget tracking skills (Excel formulas, pivot tables, dashboards).
- Reliable internet and availability during Canadian (EST) hours.
Nice to Have
- Familiarity with Ontario permits, zoning, and building code documentation.
- Knowledge of estimating, draw requests, and subcontractor billing.
Job Type: Full-time
Pay: $70,000.00-$80,000.00 per year
Work Location: Hybrid remote in Markham, ON L3R 1A3
