Location: Toronto, ON, Canada

Position Overview:

We are looking for a proactive, motivated, and entrepreneurial Office Administrator to join our growing office in Toronto. This role will play a key part in managing administrative tasks and supporting various departments, contributing directly to the growth and efficiency of our local operations.

Key Responsibilities:

  • Responsible for daily administrative tasks, including receiving and tracking invoices to ensure proper distribution and recording.
  • Maintain effective communication and coordination with service and product providers.
  • Support payroll processes, including gathering necessary information and collaborating with the HR team.
  • Participate in onboarding and offboarding processes, ensuring smooth experience for new hires and departing employees.
  • Maintain confidential HR and compliance records in line with data protection and company policy
  • Ensure compliance with internal policies and local regulations.
  • Provide administrative support to the HR team and coordinate with IT for technology-related needs.
  • Work with HR when required to coordinate interviews with candidates
  • Support the execution of office activities and events, ensuring smooth operations and successful coordination.
  • Coordinate client & senior leadership visits, including planning, logistics, and hospitality arrangements to create a positive experience.
  • Monitor and track local regulatory deadlines, ensuring timely submissions and reporting
  • Support internal and external audits by collating evidence, coordinating responses, and ensuring records are up to date

Qualifications:

  • Bachelor's degree in business administration, Human Resources, Finance, or a related field from an accredited university is preferred but not required. Equivalent work experience in administrative roles will also be considered.
  • Previous experience in administrative roles, preferably in dynamic environments or growing offices.
  • Ability to work independently with a proactive, problem-solving mindset.
  • Strong organizational, communication, and attention-to-detail skills.
  • Knowledge of invoice and vendor management.
  • Experience in HR-related tasks and administrative management systems.
  • Positive attitude, team-oriented, and a "skin in the game" mindset to contribute to the office's growth.
