Office Administrator

We are seeking a highly organized and detail-oriented Office Administrator / Bookkeeper to join our team. This is a permanent full time position for a retiring member of our team. The ideal candidate will thrive in a fast-paced environment and play a key role in supporting the daily operations of our general contracting construction business, as well as administrative and accounting functions for related property-holding rental companies.
Key Responsibilities:
- Manage day-to-day office operations for general contracting construction activities.
- Oversee administrative and accounting functions for construction company and associated property-holding rental companies.
- Perform in-house payroll, benefit and tax reporting, and job costing.
- Support management with general administrative duties as required.
- Handle Accounts Payable and Accounts Receivable functions.
- Prepare and maintain in-house financial reports.
- Develop and maintain an organized filing system suitable for the construction and property management industries.
- Prepare leasing documents, processing rental applications, and maintaining an accurate inventory on space for rent or lease.
- Process rental payments and follow up with tenants on late or missing payments.
- Preparing/distributing rental increase notices and notices for non-payment of rent.
- Communicate to tenants on behalf of the owner, informing them of changes to the property, maintenance schedules, or other critical information.
- Oversee the maintenance and repair of the building with the help of a maintenance person or contractor.
- Ensures that the buildings conforms to all by-laws and standards of safety.
Qualifications & Skills:
- Proficient in Simply Accounting (Sage 50).
- Proficient in all Microsoft Office programs (Word, Excel, Outlook).
- Excellent written and verbal communication skills.
- Adaptable to change and able to thrive in a fast-paced environment.
- Detail-oriented, accurate, organized, and dependable.
- Demonstrate problem-solving and conflict-resolution abilities.
- High level of integrity and ability to maintain strict confidentiality.
- Self-motivated with a strong, uncompromising work ethic.
