Integrated Logistics (NL) Ltd is a full service stevedoring and materials handling company with operations across the province. Currently, we are seeking an experienced Administrative Professional. This is a full-time position in Long Harbour, Newfoundland.

Responsibilities:

  • Assist and support Project Manager with a variety of administrative duties including timesheet records and collection of payroll information to be submitted to the Payroll Manager for processing;
  • Coordinate the ordering, receipt, storage, and distribution of materials, equipment, and supplies.
  • Maintain up-to-date inventory records and track usage and movement of materials.
  • Ensure all incoming materials are inspected for quantity, quality, and compliance with specifications.
  • Schedule and coordinate material deliveries to job sites or warehouses.
  • Work closely with procurement to ensure timely purchase and reordering of materials.
  • Monitor stock levels and forecast future material needs based on project schedules and consumption.
  • Prepare and maintain reports on inventory status, shortages, and material usage.
  • Assist with the reconciliation of purchase orders, packing slips, and invoices.
  • Identify and resolve discrepancies or delays with suppliers and vendors.
  • Ensure compliance with company safety standards and material handling procedures.
  • Working with HSE & Teams to Maintain and update records and reports as required;
  • Ensure crews have supplies, logbooks, and forms available.
  • Coordinate with vendors for site services support tasks.
  • Track hours, issues, and coordinate the maintenance of company and client owned equipment.
  • Scanning of logs/forms for archival and submitting to client for monthly records.
  • Assist in resolving client training system issues (VES).
  • Sea can tracking and coordination with vendors for site logistics of cans. Monthly reports for billing.
  • Assist with fuel farm and site access documentation/cards.
  • Fulfill any other duties as required;

Qualifications:

  • Minimum of 3 years administrative experience
  • High School education along with post-secondary diploma or equivalent;
  • Strong ability to collaborate and communicate with Project Team members, clients and suppliers;
  • Ability to execute tasks independently and maintain confidentiality;
  • Excellent organizational and time management skills with the ability to handle multiple tasks;
  • Knowledge of Microsoft Office as well as a high proficiency level in MS Excel;
  • Own vehicle; Valid driver's licence;
  • Excellent oral, written and interpersonal communication skills;
  • Self-motivated individual with a positive outlook and strong work ethic with a strong attention to detail.
  • Experience with SAP (Considered an asset)

Candidates must demonstrate an ability to work with minimal supervision, have a strict adherence to procedures and processes as well as promote teamwork and establish good communication between HR and Payroll. An excellent planning and resourceful ability is also a must for the successful performance of the duties in this position.
