We are currently seeking a highly organized and detail-oriented Scheduler and Administrator to join our dynamic team serving the New Glasgow and Pictou County Area. Our mission is to empower seniors and others to maintain their independence in the comfort of their own homes within these communities.

Position Overview:

We are seeking a highly organized and detail-oriented Scheduler and Administrator to join our dynamic team supporting our operations in the New Glasgow and Pictou County Area. In this crucial role, you will be responsible for the efficient scheduling of our dedicated caregivers and providing essential administrative support to ensure the smooth delivery of care to our clients within these communities. Reporting to the Branch Manager, you will play a vital part in connecting our clients with the care they need and supporting our team of caregivers working throughout the New Glasgow and Pictou County Area.

Responsibilities:

  • Scheduling and Coordination:
    • Develop and maintain caregiver schedules using home care software, ensuring optimal client coverage and caregiver availability.
    • Proactively address scheduling conflicts and find creative solutions to maintain consistent care for our clients.
    • Communicate schedule changes effectively and promptly to clients and caregivers.
    • Match caregiver skills and preferences with client needs to foster positive and sustainable care relationships.
  • Client and Caregiver Communication:
    • Serve as a primary point of contact for client and caregiver inquiries related to care, responding professionally and empathetically via phone and email.
    • Direct client inquiries to the appropriate personnel, ensuring timely and accurate information is provided.
    • Maintain positive and professional relationships with both clients and caregivers.
  • Administrative Support:
    • Assist with the initial processing of new caregiver applications.
    • Maintain accurate and up-to-date client and caregiver databases for the region.
    • Follow up on the timely submission of caregiver care notes.
    • Schedule client appointments and internal team meetings related to operations.
    • Answer and direct incoming phone calls in a courteous and efficient manner.
    • Manage office supplies and ensure adequate inventory levels.
    • Maintain a clean, organized, and professional office environment.
    • Provide support to the Branch Manager in various other administrative and operational duties to ensure efficient office function.
    • Provide general administrative support to the Client Care Manager and other office staff as needed.
  • Team Collaboration:
    • Actively participate in team meetings, providing updates and contributing to problem-solving.
    • Communicate effectively with all members of the Earth Angels Home Care team.

Qualifications:

  • High school diploma or equivalent (preferred).
  • Minimum of 2 years of experience in an administrative role (preferred).
  • Experience with scheduling software or platforms (Wellsky experience is an asset).
  • Excellent organizational and time management skills with a strong attention to detail.
  • Exceptional communication and interpersonal skills, both written and verbal.
  • Proven ability to multitask, prioritize, and work effectively under pressure.
  • Proficiency in basic computer applications (e.g., Microsoft Office Suite).
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • A proactive and problem-solving attitude.
  • A genuine commitment to providing excellent support to clients and caregivers within New Glasgow and Pictou County Area.
  • Must reside in proximity to and be willing to travel within New Glasgow and Pictou County Area.

Job Type: Full-time, Contract (with the possibility of becoming permanent)

Contract Length: To be determined based on candidate experience and agency needs.

Expected Hours: 40 hours per week, Monday to Friday

Pay: Commensurate with experience and qualifications.

Work Location: New Glasgow, NS

Expected Start Date: ASAP
