Professional Mobile Wash
We are Canada's largest fleet washing network based right here in Ottawa Ontario, washing over 5000 units per week through our wash-bay and mobile services. We are in a fast-paced environment where our standards are held as a premium services in the Ontario area.
Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various software tools. This role involves managing front desk duties, handling correspondence, and providing exceptional customer service to ensure smooth daily operations. Bilingual skills are a plus, as well as experience in reception, bookkeeping, or personal assistance.
Duties
- Manage front desk responsibilities including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry, filing, and document proofreading to maintain accurate records
- Handle customer support inquiries via phone and email, providing excellent customer service and support
- Assist with office management tasks such as organizing supplies, managing office correspondence, and supporting team members
- Utilize SAGE for basic bookkeeping and invoicing tasks
- Maintain organization of digital files and ensure timely follow-up on pending tasks
- Provide personal assistance to executives or team members as needed
Requirements
- Proven experience in office administration, clerical work, or related roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with SAGE or similar bookkeeping software is preferred
- Excellent computer literacy and data entry skills with high typing speed and accuracy
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Bilingual abilities are advantageous for communicating with diverse clients or staff
- Knowledge of multi-line phone systems and office management best practices
- Exceptional customer service skills with professional phone etiquette and support experience
- Ability to proofread documents accurately and manage calendar schedules effectively
- Prior experience in personal assistant roles or office management is desirable
Job Types: Full-time, Part-time, Permanent, Casual
Pay: $24.00-$30.00 per hour
Expected hours: No more than 44 per week
