Position Summary:

The Sales Operations Specialist will support the sales team by ensuring that sales processes, data, and reporting are accurate and efficient. This is a hands-on role focused on CRM administration, quote and order processing, contract tracking, and providing timely insights for leadership.

Key Responsibilities:

CRM & Data Management

  • Maintain and optimize the CRM system
  • Ensure data accuracy for opportunities, accounts, and contacts.
  • Regularly audit and update sales records to ensure pipeline data is current and reliable.
  • Support onboarding of new sales team members into CRM and related tool
  • Drive adoption of CRM best practices across the sales team.

Reporting & Analytics

  • Prepare weekly pipeline, bookings, and churn reports for the sales team and leadership.
  • Assist in building dashboards and tracking KPIs such renewal rates and conversion metrics.
  • Provide ad-hoc data analysis to support sales strategy decisions.

Renewal & Churn Management

  • Monitor customer contract renewal dates and support the sales team to close renewals.
  • Prepare renewal summaries, including current spend, expansion opportunities, and churn risk indicators.
  • Coordinate with Sales and Customer Success to ensure timely renewal discussions and minimize churn.

Sales Process & Enablement

  • Coordinate quote requests, deal approvals, and order documentation.
  • Track contract status and ensure executed agreements are properly stored and shared with Finance and Operations.
  • Maintain a library of sales collateral and assist with onboarding/training of new sales team members on process and tools.

Contract & SLA Tracking

  • Maintain the central repository of signed customer contracts and SLAs.
  • Track any non-standard contract terms or SLAs and notify Sales and Finance of critical dates or obligations.

Commission Support

  • Assist in compiling data needed for quarterly commission calculations and verify accuracy.
  • Maintain documentation of commission plans and payout history for audit purposes

Qualifications:

  • 2–4 years of experience in sales operations, order management, or business operations (telecom, SaaS, or data centre industry a plus).
  • Proficiency with CRM platforms
  • Strong Excel skills for reporting and data analysis.
  • Highly organized, detail-oriented, and proactive in tracking renewals, contracts, and process compliance.
  • Strong communication skills and ability to work collaboratively across Sales, Finance, and Operations.
