Reporting to the Associate Manager, Central Services & Strategy, you will be responsible for various administrative functions relating to third party documents mainly out of Quebec, but also including other provinces. You will work closely with other Administration Coordinators to support the effective distribution of third party documents to various business lines to ensure efficient handling.
Your key accountabilities will include:
Monitoring a shared mailbox for emails received from both internal business partners and external entitiesMail preparation responsibilities - opening, date stamping and prepping for scanning.Triage Incoming Mail into a Document Management SystemSearching multiple Company systems for policy numbers/products and interpreting the resultsDistribution of the documents to the appropriate line(s) of businessEnsuring document management system is up to date with all documentation/emails/product detailsReviewing general phone line voicemails and responding or re-directing the inquiriesRequired Competencies and Behaviours:
Bilingualism (fluent in French and English) required, as the position will regularly serve our clients with English and French-speaking needs.Minimum 2 years' experience working in an administrative role.Ability to independently manage own workload with well-developed organizational and time management skills, as well as strong attention to detailStrong technical skills (MS Word, Excel, Outlook, Foxit, document management software).Experience working with highly sensitive and confidential information as part of daily dutiesKnowledge of any one or more of the following Company systems is an asset (Mainframe (GWL), GPAS, DCT, Copilot, Siebel, GRS Solium, CISS, Univerys, Name Search Tool)The successful candidate must consistently demonstrate professionalism, diligence, discretion, and reliability. Reliability Status Security Clearance – this can only be completed with candidates who receive an offer of employment. This is a personal security status that is required as a condition of employment before an employee can gain access to Protected B information, assets or work sites as outlined by the Government of Canada website. The cost of submitting these checks will be covered by Canada Life.-
The base salary for this position is between $38,300.00 minimum - $51,800.00 maximum annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).
