Overview

We are seeking a detail-oriented and organized Administrative Assistant to join our team. This role provides essential support to our accounting and administrative functions, ensuring smooth daily operations. The ideal candidate will have experience with accounting software and possess strong organizational skills to manage various financial and administrative tasks efficiently.

Duties

  • Record and reconcile daily transactions in QuickBooks Online / Xero (A/P, A/R, and G/L entries)
  • Assist with month-end and year-end closings, accruals, and adjusting journal entries
  • Maintain vendor and client accounts, ensuring accurate coding and project cost tracking
  • Prepare and reconcile bank and credit card statements
  • Assist in preparing HST filings, WSIB remittances, and payroll summaries
  • Track project billings, purchase orders, and subcontractor invoices
  • Support preparation of management reports, budgets, and audit requests
  • Maintain organized financial records and documentation for compliance purposes
  • Assist with general administrative duties such as scheduling, correspondence, and data entry

Requirements

  • Post-secondary diploma or degree in Accounting, Finance, or Business Administration
  • 1–3 years of relevant bookkeeping or accounting experience (construction industry an asset)
  • Proficiency in QuickBooks Online or Xero, and strong Excel / Google Sheets skills
  • Solid understanding of double-entry accounting and reconciliations
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Strong communication and teamwork abilities
  • Prior experience in bookkeeping and office management preferred
  • Ability to work independently and prioritize tasks efficiently
