Administrative Assistant

Reporting to the Director of Infrastructure Services, the Administrative Assistant, Infrastructure Services position is accountable for an array of administrative and technical duties including drafting, reviewing, and editing time-sensitive correspondence, data entry and file management. Working as part of a team dedicated to process improvement and long-term success for the County, this role requires is a customer service focused professional with attention to detail and the ability to balance multiple priorities.
GENERAL RESPONSIBILITIES
- Respond to inquiries for information on matters related to County departments from
rate payers, government departments, or other bodies and keep the Supervisor of
that department informed with regard to public inquiries.
- Provide Administration support by composing and processing correspondence,
reports, tables, charts, and memos.
- Maintain records, plans and files pertaining to the Infrastructure Services Department.
- Administering of Utility Crossing Agreements (agreements for oil, gas, power,
telephone, etc… Companies to cross/use County ROW's).
- Administering of road haul and log haul agreements with private companies.
- Filing caveats on land titles, removing caveats, performing land title searches.
- Processing of preliminary agreements: numbering, tracking and filing.
- File management of dust control program.
- Prepare and process purchase orders and invoices.
- Provide assistance in Contract preparations.
- Index and reference road, subdivision and utility right-of-way plans.
- Process scheduled payments relating to the general operation of County Departments.
QUALIFICATIONS & SKILLS
- Post secondary education in Office Administration or related field
- A minimum of two (2) years of related experience, preferably in a municipal
government or public sector environment (equivalent combinations of education and
experience may be considered)
- Proficient in Microsoft Office (Excel, Word, Outlook)
- Strong organizational, time management, interpersonal, and communications skills
- Demonstrated ability to manage multiple priorities and meet deadlines while dealing
with sensitive and confidential information with a high degree of professionalism
- Exceptional internal/external customer service skills
- Experience with MS Dynamics GP Software will be considered an asset
Job Types: Full-time, Permanent
Pay: $61,000.00-$76,000.00 per year
