Tenure - Ongoing, 4 months (may be extended)
Location - Mississauga, ON
Hours - Monday to Friday, 8:30 AM – 5:00 PM (Hybrid)
Pay Rate - $22–$24/hour
About the Job
General Description:
This role is responsible for the timely and efficient invoicing of customer invoices and the auditing and approval of carrier invoices, along with P&L reporting for all in/out-bound transportation services. The position plays a crucial role in sustaining growth and profitability within the Transport department by ensuring optimum service for both internal and external customers through accurate billing administration. It also supports key stakeholders in assessing profitability and minimizing costs.
Billing administration is a vital part of the business and logistical support offered to clients, contributing to strong long-term relationships and providing financial insights that enhance competitive advantage. This role reports to the Transportation Manager.
Key Responsibilities:
- Generate weekly, bi-weekly, or monthly invoicing for all transportation customers using reporting tools and data entry.
- Audit and GL code all transportation carrier/vendor invoices.
- Provide daily, weekly, and monthly cost/revenue reporting to internal stakeholders.
- Coordinate with internal departments to resolve transportation billing inquiries.
- Respond promptly and professionally to billing questions from internal and external parties.
- Assist customer service teams with track & trace and day-to-day transportation inquiries.
- Communicate client billing concerns or trends to the Client Solutions Manager for follow-up.
- Prepare and submit internal and external reports as required.
- Liaise with the Client Solutions Manager and Operations Manager on billing/service escalation issues.
- Communicate and obtain authorization for any service requests outside standard agreements.
- Participate in departmental and client meetings as required.
- Perform other duties as assigned by the Manager.
Qualifications & Requirements:
- Excellent written and verbal communication skills.
- 2–3 years of experience in an administrative role.
- 1–2 years of experience in accounts payable/receivable.
- Strong computer skills, with intermediate to advanced Excel proficiency.
- Highly organized with strong attention to detail.
- Effective time management and ability to prioritize under tight deadlines.
- Able to work independently and collaboratively within a team.
- College diploma or university degree is an asset.
