The Role

We're seeking a motivated, detail-oriented, and creative Assistant Event Coordinator to join our Vancouver office. This role supports event logistics, client management, and creative production - ensuring every Investor Events experience runs seamlessly from concept to completion.

Key Responsibilities

Event Coordination & Operations

  • Support planning and execution of investor and corporate events
  • Coordinate meeting schedules, event orders, capacity numbers, and room setups
  • Handle venue sourcing, ticket distribution, and on-site event hosting
  • Assist with photography, testimonial gathering, and shareholder organizing
  • Manage timelines, logistics, and post-event reporting

Creative & Marketing Support

  • Build and manage templates for invitations, RSVP emails, LinkedIn event pages, and calendar placeholders
  • Collaborate with the design team on graphics and branded materials
  • Support client posts, LinkedIn follower growth, and engagement tracking
  • Ensure all materials align with brand standards and event objectives

Client & Relationship Management

  • Maintain and update client profiles and communication records
  • Track invitations, RSVPs, and engagement through CRM systems
  • Manage rep information and investor network databases
  • Support clients with engagement pages, conference listings, and LinkedIn content

Creative & Marketing Support

  • Build and manage templates for invitations, RSVP emails, LinkedIn event pages, and calendar placeholders
  • Collaborate with the design team on graphics and branded materials
  • Support client posts, LinkedIn follower growth, and engagement tracking
  • Ensure all materials align with brand standards and event objectives

Qualifications

  • 1-3 years of experience in event coordination, marketing, or client relations
  • Strong organizational, communication, and multitasking skills
  • Proficient with Google Workspace, CRM tools, WordPress Mgmt, and Social Media Platforms
  • Professional demeanor and ability to thrive in a fast-paced, office-based environment
  • Willingness to assist with on-site events and occasional travel
