Now in our 15th season, our authentic outdoor German Christmas Market features unique holiday shopping, seasonal entertainment, and delicious traditional food and drinks. Located in the downtown core of Vancouver, at Jack Poole Plaza, the Christmas Market will be open to the public daily from mid-November to December 24.

Full-Time Employment Opportunity – Event Logistics Coordinator

Vancouver Christmas Market Inc. is seeking a driven and enthusiastic individual with event-related logistical experience. In collaboration with the Operations Manager, the role entails overseeing the entire logistics of the event, from the set up & take down of the infrastructure to the supervision of suppliers and coordinators.

A successful candidate for this role is a creative thinker who understands the specific needs of the company's seasonal events, while keeping in mind the larger components necessary for its completion. This candidate is a confident and efficient planner. Not only does a successful candidate need to be proficient in negotiating, but also have the expertise to manage vendors, suppliers and partners and provide direction.

This full-time contract position runs from October to January with the possibility of extension. Flexibility is needed during November and December.

Roles and Responsibilities

  • Coordinate supplier services and infrastructure during planning, event and dismantling phases
  • Assist with the booking of transportation of assets being moved over the border
  • Knowledge of the insurance and permits required for the events
  • Coordinate suppliers move-in and move-out in collaboration with Operations Manager
  • Assist with the production schedule
  • Liaise with third parties (service providers & partners) on behalf of VCM
  • Manage warehouse inventory
  • Attend all permit meetings with the Operations Manager
  • Assist Operations Manager during initial inspections, as well as any ongoing inspections
  • Act as point person for Operations when Operations Manager is off site
  • Comply with strict standards of quality and accuracy.
  • Remain in constant communication with Operations Manager providing detailed updates
  • Provide regular event support to VCM as assigned including inventory tracking and general market functionality with support
  • Assist Vendor Manager to ensure vendor related issues are addressed and successfully solved in a timely manner

Requirements and Selection Criteria

  • Bachelor Degree or Diploma in a related field of study (an event management related degree is preferred)
  • Advanced proficiency with software and online tools (Microsoft Office)
  • Diplomatic approach while working within policies, rules, and procedures
  • Ability to multitask within tight deadlines
  • Proven experience managing suppliers for events or festivals
  • Excellent verbal and written communication skills
  • Excellent organizational skills and/or project management experience
  • Experience with scheduling and overseeing the activities of large groups
  • Motivated self-starter
  • Attention to detail
  • Ability to take projects from concept through execution to final production
  • Ability to quickly adapt to changing environments, problem-solving skills, and an innovative mindset including exercising good judgment and decision making
  • Valid Driver's license and access to a vehicle is a requirement
  • Able to travel to the United States
  • Ability to work in an outside environment for long periods of time

Compensation

  • Salary range: $4,800 - $5,500 per month
  • End of seasonal bonus
