We are currently seeking a Restoration Coordinator to join our administrative team. This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and can manage multiple projects while keeping things running smoothly behind the scenes.

Responsibilities

1. Work Orders & Estimates

  • Create and manage work orders based on job scope and project requirements.

2. Scheduling & Dispatch

  • Monitor project manager calendars to ensure all jobs and site visits are scheduled efficiently.
  • Assign technicians based on workload and availability.
  • Ensure all job details are clearly outlined for the dispatch team.

3. Technician Coordination

  • Track job progress and completion status with technicians.
  • Prepare and submit invoices once work is completed and reviewed.
  • Maintain detailed records of all communications and updates.

4. Materials & Subcontractor Coordination

  • Order materials and supplies from vendors as needed.
  • Coordinate with subcontractors (e.g., flooring, drywall, specialized trades) to align schedules.
  • Ensure project timelines are met and communicated to all stakeholders.

5. On-Call Scheduling

  • Prepare and distribute weekly on-call schedules for technicians.
  • Update dispatch to reflect on-call assignments.

6. Weekly Job & Billing Review

  • Run weekly reports to identify unscheduled jobs, pending estimates, and incomplete billing.
  • Follow up on outstanding items to ensure administrative accuracy and project momentum.
  • Prepare detailed estimates for review and approval.
  • Communicate with project managers, dispatch, and customers to schedule onsite visits or finalize estimates.
  • Maintain accurate internal notes and update all scheduling details.

Qualifications:

  • Previous experience in administrative coordination, restoration, construction, or service dispatch preferred.
  • Strong organizational skills and attention to detail.
  • Excellent communication and multitasking abilities.
  • Proficient in Microsoft Office Suite and job management software (experience with ServiceM8, Jobber, or similar is an asset).
  • Ability to work independently while supporting a collaborative team environment.
