Role Overview:
We are currently looking for a Project Administrator to join our team. Supporting Project Managers on site, the Project Administrator works collaboratively with other teams in a fast-paced, ever-changing environment. The successful candidate will have strong communication skills, be self-motivated, detail-oriented, and able to thrive in a high-volume environment.

Key Responsibilities:

  • Provide general administrative support to the Construction Management Team (CMT).
  • Manage coordination of contractor mobilization and ongoing support, including pre-mobilization deliverables, flights, training, RFIs, site instructions (SIs), and other construction documents.
  • Administer document control processes efficiently.
  • File documents, conduct employee onboarding, orientation, and paperwork.
  • Assist with organizing on-site events such as lunch and learns.
  • Take meeting minutes, draft memos/presentations, and distribute as necessary.
  • Aid with the development and maintenance of project management documents.
  • Work with suppliers on quotes, project costs, delivery, and forecasted spending.
  • Support Project Managers with procurement of materials, supplies, and services as necessary.
  • Assist Project Managers with scheduling, coordinating team meetings and schedules.
  • Organize and prepare for internal and external meetings; gather required materials.
  • Utilize Excel for project tracking and documentation.
  • Support month-end procedures

Requirements

  • Post-secondary education in business administration, project management, construction management, or a related field is an asset.
  • Previous experience in construction, engineering, or project management environments.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
  • Self-motivated, detail-oriented, and able to work independently.
  • Ability to thrive in a dynamic, fast-paced, high-volume environment.
  • Experience with document control, procurement processes, and contractor coordination is an asset.
  • Strong interpersonal skills and ability to collaborate effectively across teams
