Job Description:

Hours: Monday to Friday, 8:30 a.m. to 4:30 p.m., with some evenings and weekends, as operationally required.

Position Summary: Reporting to the Associate Dean, the incumbent is the first point of contact for student inquiries and issues and uses sound judgment and past practices to refer students to the appropriate support or resolution. The incumbent provides guidance to students throughout their academic journey; actively participates in retention and student success initiatives; and completes a wide variety of administrative, data-tracking and reporting duties in support of student success and academic activities of the campus. The incumbent supports planning, development, delivery and renewal of education and training across the school through market development, community integration, curriculum support and related activities.

Duties and Responsibilities: 

Provides direct guidance to students and applicants based on college processes and practices:

  • In consultation with the Academic Manager, develops, schedules, and promotes group sessions (or presentations) on timely topics such as study skills, student life, academic issues, time management, etc. Works with areas of expertise (i.e.: Academic Integrity Manager) to prepare materials and deliver sessions to students

  • Provides guidance to students (individual, group or drop-in) in-person or remotely. Helps students understand their status in their program in relation to successful completion and other progression and pathway planning. Assists students in adding, dropping, withdrawing and other academic administrative tasks

  • Using a variety of methods or tools, identifies students at-risk and implements outreach and intervention activities designed to increase student success and retention. Consults with Academic Administrator and faculty to discuss student issues and seek guidance and solutions.

  • Refers students to appropriate College resources as needed including Office of the Registrar, Financial Aid, Continuing Education, Academic Upgrading, Advising, Prior Learning Assessment and Recognition, Counselling and Accessibility, and other student services

  • Provides support to prospective students and applicants related to individual program choices, navigating processes, and accessing other College resources

Supports the planning, development, delivery and renewal of academic, part-time and continuing education offerings and services within the school by:

  • Supports campus academic activities by taking an active role in program meetings, program reviews, PAC meetings, community meetings and other initiatives

  • In consultation with Academic Manager, assesses community needs leading to new course and program investigation and development including submission for approval in accordance with the planning cycle

  • Monitors and provides feedback to Academic Manager on course delivery and sequencing to help ensure course offerings and scheduling will best meet future student and school needs

  • Participates in a variety of activities designed to promote campus programs and services including supporting the development of marketing strategies

  • Supports conversion of applicants to students by establishing and maintaining consistent communications throughout the application process

  • Attracts and engages potential students/clients by participating in outreach activities, including attending recruitment and marketing events both internally and externally

Campus Engagement

  • Participates in a variety of campus-wide and College-wide initiatives, committees and events such as surveys, orientations and related activities, graduation ceremonies, open house events, etc.

Qualifications: 

  • Post-secondary 3-year diploma/degree in a related field

  • Minimum 3 years' of practical experience guiding students, preferably in a post-secondary educational setting

  • An equivalent combination of education and experience may be considered 

  • Working knowledge of College academic processes and procedures, and support services offered by other departments within the College

  • Experience/knowledge with program development, course development and program quality review, knowledge of college post-secondary and continuing education programs, and the development of program marketing plans

  • Understanding of the structure and operation of school programs

  • Good judgment and problem-solving when guiding students, strong communication skills when working with faculty and staff

  • Demonstrated planning, writing skills, interpersonal skills, and an ability to work effectively in a team environment; ability to manage multiple tasks, projects and issues at the same time.

  • Proficiency in/experience with business computer applications (i.e. word processing and information management software), plus internet searching skills and basic familiarity with office procedures, is required

  • Ability to learn and adapt to new software applications

  • A dynamic and personable approach with the ability to build positive relationships and engage effectively with students, colleagues, and community partners; skilled in networking, collaboration, and fostering community connections
