Overview
We are seeking a detail-oriented and organized Administrative Coordinator to join our team. This role is essential in ensuring the smooth operation of our office by providing administrative support and facilitating communication among staff and clients. The ideal candidate will possess strong clerical skills, a customer-focused attitude, and the ability to manage multiple tasks efficiently in a fast-paced environment.
Responsibilities
- Manage daily office operations, including filing, data entry, and maintaining organized records.
- Provide exceptional customer service by handling inquiries and assisting clients at the front desk.
- Operate multi-line phone systems, demonstrating excellent phone etiquette while directing calls appropriately.
- Utilize Microsoft Office and Google Workspace for document preparation, scheduling, and correspondence.
- Assist with bookkeeping tasks using QuickBooks and maintain accurate financial records.
- Support the team with clerical duties such as typing, proofreading documents, and preparing reports.
- Coordinate appointments and manage calendars for staff members to ensure efficient time management.
- Maintain inventory of office supplies and place orders as necessary to keep operations running smoothly.
- Collaborate with team members to improve administrative processes and enhance overall efficiency.
Requirements
- Proven experience in an administrative role with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Familiarity with QuickBooks or similar bookkeeping software is highly desirable.
- Previous experience in a medical or dental office setting is a plus.
- Excellent typing skills with attention to detail for accurate data entry and proofreading.
- Strong customer service skills with the ability to communicate effectively with clients and colleagues.
- Experience handling multi-line phone systems and managing front desk operations.
- Ability to work independently as well as part of a team in a fast-paced environment.
