About the Role
We're looking for a self-motivated, detail-driven Office Administrator / Operations Coordinator to support the daily operations of our growing manufacturing and fabrication business.
This role is ideal for someone who thrives in a fast-paced, hands-on environment and enjoys keeping projects, schedules, and materials organized from start to finish.
You'll be the central connection point between our leadership team, production staff, and suppliers, helping keep projects on track, materials flowing, and administrative tasks running smoothly.
Key Responsibilities
- Coordinate day-to-day office operations, scheduling, and communication between departments.
- Support purchasing and materials management: issue purchase orders, follow up with suppliers, track deliveries, and maintain accurate inventory records.
- Assist with production scheduling, ensuring materials and timelines align with project requirements.
- Monitor and update key performance metrics (production efficiency, inventory accuracy, delivery timelines).
- Prepare quotes, track job costs, and ensure purchase decisions stay within budget.
- Maintain records for employee onboarding, training, and compliance documentation.
- Provide administrative support to the management team, including document control and client correspondence.
- Enter purchase orders and payable invoices using QuickBooks Online
- Assist with semi-annual and year-end inventory counts and reconciliations.
- Contribute to continuous improvement efforts in workflow, communication, and operations efficiency.
Qualifications
- 3+ years of experience in an administrative, logistics, purchasing, or production coordination role (manufacturing or fabrication environment preferred).
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal abilities.
- Proficient with Microsoft Office and experience using ERP or scheduling systems (QuickBooks, Sage, or similar).
- Ability to manage multiple priorities and deadlines independently.
- A proactive mindset and willingness to learn and adapt as our company grows.
