Office Administrator/Bookkeeper

We're looking for someone sharp, organized, and independent. This role needs a person who can pick things up quickly, figure things out on their own, and keep the office running smoothly. We haven't had an admin assistant before, so we need someone who can take charge and build structure as they go.
We are currently implementing new systems across the company (CRM, ERP, and other internal tools), and we need someone who can help with the transition. This includes assisting with data migration, setting up new workflows, and making sure everything is entered and organized properly as we move from one system to another.
Responsibilities
- Keep our client database up to date
- Watch contract expiry dates and prepare renewals
- Process new equipment when it arrives and update all records
- Handle basic bookkeeping (receipts, credit cards, vendor files)
- Create and send invoices for equipment and services
- Respond to client requests through Freshdesk (mostly email, very little phone work)
- Set up new software and manage data migration when we switch systems
- Keep both digital and physical filing organized
- Look for ways to improve how things are done in the office
- Work independently and stay on top of tasks without reminders
What We Need
- Very good skills with Excel, Word, PDFs, and general office software
- Someone who learns new software quickly
- Strong organization and attention to detail
- Able to write clear, professional emails
- Takes initiative and doesn't need constant direction
- Reliable and comfortable working alone for long periods
- Bookkeeping experience is an asset
- A role where you handle the core admin side of the business
- Involvement in improving systems and helping us run more efficiently
