Mason & Associates, Chartered Professional Accountants is a local accounting firm providing highly personalized tax, accounting, and advisory services. We have offices in Brandon, Virden and Moosomin.

Position Overview
We are seeking a professional, detail-oriented
Administrative Assistant
to support the partner in managing client communication and the day-to-day operations of the firm. The successful candidate will play a key role in administrative coordination, client communication, office management, and marketing activities.
The ideal candidate is highly organized, personable, self-started and able to manage multiple priorities in a fast-paced professional environment.

Key Responsibilities
Administrative Support
· Provide administrative and executive support
· Prepare professional correspondence, presentations, reports, and meeting materials.
· Maintain efficient digital and physical filing systems.
· Assist with special projects and perform ad-hoc administrative tasks as needed.
Calendar & Meeting Coordination
· Manage calendars, coordinate meetings, and schedule internal/external events.
· Record meeting minutes and ensure timely follow-up on action items.
Office Operations
· Oversee daily operations across three office locations, including accounts receivable, payable, and various administrative functions
· Office supply management
· General office upkeep and organization
Client & Stakeholder Engagement
· Support client communications and engagement initiatives.
· Track key client deadlines and deliverables to ensure timely completion.
Marketing & Communications
· Assist in implementing marketing activities, including:
o Creating and scheduling social media content
o Drafting and distributing newsletters
o Updating and maintaining website content

Qualifications
· Minimum certificate or diploma in Business Administration, Office Administration or similar
· Exceptional communication, organizational, and time management skills.
· Proficiency with technology including Microsoft Office Suite; experience with QBO is an asset.
· Professional demeanor, discretion, and a client-service mindset.
· Familiarity with basic marketing and social media tools.
