The Edmonton office of Smith + Andersen is currently seeking an Office Manager. You are highly organized and have the ability to prioritize tasks in order to manage your workload. What You'll Do
- Provide office administration support to project teams.
- Assist in the development and formatting of new documents and processes.
- Provide support to designers and project managers in editing job specifications and reports.
- Maintain databases and filing systems for all projects; update internal systems ensuring records are well maintained and up-to-date.
- Maintain inventory of supplies for the kitchens and general office areas; as well as personal protective equipment and other job related supplies. Receive supplies, unpack and check orders for accuracy.
- Coordinate internal training sessions; source rooms, schedules; order catering, setup and clean up.
- Participate and take minutes in the Edmonton Joint Health and Safety Committee (JHSC) meetings; Perform internal Health and Safety (H&S) Workplace Inspections on a monthly basis.
- Coordinate mail flow in and out of the office.
- Update internal databases with business contacts as required.
- Assist in the onboarding process for new hires, including, preparing workspaces and necessary materials.
- Assist with invoicing, purchase orders, and expense tracking.
- Greet clients and vendors in person and over the phone; use outlook calendar to book meeting rooms.
- Work with social committee to coordinate and organize employee sporting events, social activities, and team-building events.
Who You Are
- University or College degree in Business Administration, or acceptable combination of education and experience.
- 2 to 5 years of experience providing administrative support for mid to senior level management within the construction, architecture or engineering field.
- Have superior organization and administrative skills with the ability to prioritize and multi- task in a fast paced environment.
- Advanced computer skills, with knowledge of all Microsoft Office Suites.
- Strong written and oral communication skills; able to communicate with both internal and external clients.
- High attention to detail and an ability to accept direction.
- Highly organized and able to prioritize work schedule.
- Ability to work independently as well as part of a team.
