Aesthetic Office Manager

Overview
We are a brand new aesthetics clinic starting in Red Deer with our launch planned in Jan 2026. We are seeking a highly organized and motivated Senior Aesthetician who is looking to transition to an Office Manager position to oversee the daily operations of our office. The ideal candidate will possess strong leadership skills and a comprehensive understanding of administrative functions. This role is crucial in ensuring the smooth running of office activities, managing staff, and maintaining effective communication within the team.
Duties
- Supervise and coordinate office activities to ensure efficiency and compliance with company policies.
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy.
- Oversee human resources functions, including payroll processing, employee onboarding, and training & development initiatives.
- Maintain accurate bookkeeping records using QuickBooks and ensure timely financial reporting.
- Handle vendor management tasks, including negotiating contracts and maintaining positive relationships with suppliers.
- Implement organizational systems for filing and document management to enhance workflow efficiency.
- Collaborate with team members to develop budgets and monitor expenses to ensure adherence to financial plans.
- Provide clerical support as needed, including data entry, correspondence, and report generation.
- Foster a positive work environment through effective team management and communication skills.
Qualifications
- Proven experience in an office management or administrative role with supervisory responsibilities.
- Proficiency in QuickBooks and other bookkeeping software is preferred.
- Strong organizational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail.
- Excellent communication skills, both verbal and written, with a focus on phone etiquette.
- Experience in human resources functions including payroll processing is a plus.
- Familiarity with vendor management practices and budgeting processes is desirable.
- Ability to train and develop staff effectively while fostering teamwork within the office environment.
