Position Overview

We are seeking a friendly, organized, and fitness-minded
Front Desk Administrator

to be the first point of contact for our members and guests. The ideal candidate has previous experience in reception or front-desk roles, is confident using CRM systems, and is passionate about the role fitness plays in maintaining overall health and well-being.    This position will start off with fewer hours hrs) and likely build up to 30 hrs per week, depending on the nature of the business. 

KEY RESPONSIBILITIES :

Member and Guest Experience:

  • Greet members and visitors with a warm, professional, and welcoming attitude

  • Assist and then lead membership inquiries, class bookings, tour requests, and general questions

  • Ensure the front desk area is clean, organized, and fully stocked with required materials

Administrative and CRM Management:

  • Manage member profiles, payments, check-ins, and attendance through the club's CRM

  • Maintain accurate records and follow protocols for membership changes, freezes, renewals, and cancellations

  • Monitor email inbox and phone lines; respond promptly and professionally

  • Support sales processes by entering leads, following up on inquiries, and scheduling consultations

  • Learn skills to expand our usage of the CRM on a daily basis.

Operations Support

  • Coordinate with trainers, instructors, and management to ensure smooth daily operations

  • Assist with opening and closing procedures as needed

  • Handle point-of-sale transactions for memberships, retail items, and services

  • Report maintenance issues or member concerns to management

Organization Growth

  • Assisting with new hires

  • Maintain and build contact for professional therapists (RMT, Osteo, dietitian, physiotherapist) with schedules up to date

QUALIFICATIONS

  • Previous experience in a front desk, reception, or administrative role

  • Comfortable and confident working with CRM or membership management software

  • Excellent communication and interpersonal skills

  • Strong organizational skills and attention to detail

  • Ability to multitask in a dynamic, high-energy environment

  • A genuine passion for fitness and an understanding of its importance in overall health

LOGISTICS

Hours

  • The position would require both morning and afternoon shifts, possibly the odd Saturday morning progressing to include a couple of full days per week.

Rate

  • $17.75 per hour + commissions for first 3 months
  • $18.00 per hour post 3 months up to $22.00 per hour.
