WHO YOU ARE

  • You're reliable, responsible, dependable, and have a positive attitude.
  • You are most confident at work when you are problem solving and engaging with people and passionate about organization, communication and collaboration.
  • You have more than 2 years of experience in similar coordination roles or experience in a supervisory capacity in a customer service environment.
  • You have strong working knowledge of Google Suite, Microsoft Office, InFlow, Book4Time, Shopify, Asana, Gorgias or are able to learn these platforms.
  • You have experience working with a diverse, multifunctional team and successfully leading projects.
  • You are familiar with ecommerce fundamentals and have at least two years experience or relevant education in marketing and digital media.
  • You are interested in natural skin care and esthetics and are excited to learn about our products and keen to keep up with the latest industry trends.
  • You are comfortable to work in an office environment that is adjacent to a cosmetic production facility and warehouse in a role that may require standing and/or walking throughout your shift as well as bending, lifting and walking up and down stairs.

WHAT YOU WILL DO

  • Customer Service:
  • May be called upon to answer phone calls, emails and respond to messages from franchise and corporate spa locations, wholesale clients, as well as responding to client concerns and resolving client issues.
  • Providing product information and education to retail customers.
  • Resolving customer issues quickly and effectively to deliver optimal customer service experience to all customers.
  • Monitoring email accounts and supporting other team members with correspondence as needed.
  • Project Coordination:
  • Utilizing PM software to follow up on project completion and weekly progress reporting.
  • Assisting in the design of end to end process of product commercialization.
  • Following up with project team members to ensure deadlines and deliverables are met.
  • Assist with design and implementation of sales promotions.
  • Procurement:
  • Work collaboratively with Operations Manager and Production Manager to determine need, create budgets, and source raw materials and product packaging.
  • Working with vendors to source ingredients, packaging and keeping up on industry trends.
  • Identify potential areas of improvement and cost savings opportunities.
  • Administrative:
  • Submitting monthly reporting to the Operations Manager.
  • Maintaining ecommerce site and working with developer to implement changes.
  • Maintenance of database of product labels and working with Production Manager to ensure any required changes are made in a timely manner.
  • Maintaining database of house brand products, INCIs.
  • Monthly inventory of house brand products.

REQUIREMENTS

  • 2+ years experience in a relevant field with a focus on customer service and administration.
  • Strong organizational capability with a focus on efficiency and customer experience.
  • Knowledge of esthetics and natural skincare products.
  • Excellent time management skills, attention to detail and ability to be self directed at work.
  • Strong problem-solving abilities and a desire to work collaboratively.
  • Proficiency in Google Suite, Microsoft Office Suite and relevant industry software (ERP, inventory management, spa booking/POS software).

PHYSICAL REQUIREMENTS

  • Standing and walking for extended periods, including up and down stairs. Lifting up to 40lbs, reaching, bending, carrying items up and down stairs. Safe use and maintenance of laboratory equipment including use of appropriate PPE.
  • We are a natural skin care company and limit the use of chemicals and synthetic fragrances whenever possible and are able to provide information about cleaning products and disinfectants to any candidates that have concerns about chemical sensitivities.
