Executive/Mortgage Assistant

Overview:
We're looking for a high-energy, highly organized Executive Assistant to act as the first point of contact for our growing mortgage brokerage. This role sits at the centre of our business and is essential to creating the "wow" experience our clients and partners have come to expect.
As the Executive Assistant, you will be responsible for managing the Principal Broker's inbox, calendar, scheduling, and day-to-day communication while also handling lead intake, database management, and light event coordination. You will often be the first voice our clients and partners hear, so exceptional phone manner, warmth, and professionalism are a must.
This is a team-oriented role for someone who thrives in a fast-paced, relationship-driven environment. You'll help ensure every client journey starts smoothly, every communication is handled promptly, and every interaction reflects our commitment to service excellence. Above all, your purpose will be to support the Principal Broker, remove friction from his day, and help the business operate at the highest level.

Must be Willing to Learn:
- Assisting clients through the mortgage process
- Updating and maintaining client files (including data entry)
- Communication with clients, lenders, and referral sources (including updates throughout the process)
- Managing multiple clients at once and meeting clients' timelines
- Managing email for the office and Principal Broker
- Managing and organizing the internal database system
- Event planning as required
- Gathering and reviewing mortgage documents
- Other duties as assigned

Required Education, Skills, and Qualifications:
- Approach work with professional conduct
- Excellent verbal and written skills
- Strong typing and computer skills
- High level of discretion required in dealing with confidential matters
- Post-secondary education is an asset
- Previous administrative experience is an asset and mortgage experience is required
- Experience in the following is considered an asset: Finance, Salesforce/Jungo, G Suite, Sharepoint, Velocity/Filogix, Calendly, Mortgages and/or Real Estate, Microsoft Outlook and Office
