Job Summary:
Reporting to the Senior Manager, HR, Store Operations, the HR Coordinator will provide administrative and organizational support to the HR team. This role is essential to ensure the smooth running of processes related to the employee lifecycle, from hiring to termination, including file management and training coordination. The HR Coordinator is also a point of contact for employees and store managers.
Main Responsibilities:
- Assist the HR team in monitoring and maintaining employee files, ensuring that all information is accurate and confidential;
- Create various HR documents (letters, employment confirmations, employee file documents, etc.) and archive them in employees' electronic files (UKG);
- Process administrative documents related to hiring, status changes, leave, and terminations of employment as needed;
- Respond to various basic administrative questions from managers;
- Serve as the first point of contact for general questions from employees and managers regarding HR policies and administrative procedures, including payroll and pay statement inquiries;
- Manage the voicemail system and messages left on the confidential hotline;
- Collaborate with various internal teams to find appropriate solutions to situations as they arise;
- Enter data and produce and/or maintain various files and reports;
- Follow up with managers to ensure that employees complete all mandatory training (e.g., health and safety);
- Help update internal policies, procedures, and other HR documents, and review and format them as needed;
- Support the launch of various HR projects and initiatives;
- Coordinate and participate in various recruitment events when necessary;
- Contribute to any other administrative tasks to help out the HR, Store Operations team;
- Stay up to date on HR best practices and suggest ways to improve current processes and tools.
Qualifications:
- Degree in HR Management or a related field;
- 2 years of experience in an administrative support role or similar experience;
- Strong interpersonal and communication skills (written and spoken) in French and English. Bilingualism is required for daily communication with suppliers, employees, and stakeholders, both within and outside of Quebec;
- Highly adaptable and able to effectively multitask in a fast-paced environment;
- Strong sense of confidentiality and discretion;
- Customer service-oriented (internal);
- Detail-oriented;
- Knowledge of Microsoft Office, including Word, Excel, and PowerPoint;
- Experience in the retail industry is an asset.
