Our client a boutique investment management firm requires an Operations Associate to join their team. The Operations Associate plays a key role within the operations team, contributing to the efficient execution of the firm's daily operational activities. This includes responsibilities related to portfolio administration, pooled fund operations, trade execution support, and internal and external reporting. The individual will maintain a strong grasp of internal workflows and how these processes impact client portfolios. This role is essential in ensuring system functionality, data integrity, and overall operational excellence, and will also support general administrative tasks within the office.

Key Responsibilities:

  • Assist in processing transactions across both pooled and segregated client accounts
  • Coordinate routine and mandatory client transactions (e.g., RIF, RSP, TFSA contributions and withdrawals)
  • Support the upkeep and accuracy of client profiles, investment mandates, account information, and security data across platforms
  • Manage reconciliation processes and ensure daily data feeds are correctly imported and validated
  • Participate in fund valuation and pricing activities
  • Help create and process equity and fixed income trades, as well as unit transactions for pooled funds
  • Provide administrative support to the investment team, including managing and updating trade blotters
  • Prepare a variety of scheduled and on-demand reports for both internal stakeholders and clients
  • Ensure accuracy and completeness of data that feeds into reports and dashboards
  • Understand how data flows between internal systems and third-party providers
  • Assist in the preparation and delivery of recurring reporting cycles, including quarterly client statements
  • Coordinate the distribution of client reports, including those generated by the firm and external custodians
  • Conduct reconciliations and data validations using both internal and external sources
  • Identify discrepancies or inconsistencies in data and resolve them using in-depth knowledge of systems, client structures, and account setups

Role requirements:

  • Familiarity with the investment industry and its regulatory and compliance frameworks
  • Solid understanding of investment principles, financial instruments, and operational processes
  • Excellent organizational abilities with a talent for managing competing priorities and meeting deadlines
  • Strong attention to detail and sound judgment to ensure high levels of accuracy
  • Collaborative and approachable, with excellent verbal and written communication skills
  • Comfortable taking initiative and handling a wide range of tasks with a hands-on attitude
  • Continuously seeks opportunities to enhance operational efficiency and mitigate risk
  • Performs well under pressure and remains focused on achieving high-quality results
  • Proficient in mathematics and advanced Microsoft Excel functionality; experience with
  • Bloomberg is an asset
  • Prior experience with portfolio management software and CRM systems is highly beneficial
