Office Manager – Barrie Clinic (Full-Time)

FOTIS Physio and Wellness, a premier physiotherapy and wellness clinic in Barrie, Ontario, is seeking a dynamic, organized, and people-focused Office Manager to join and lead our administrative team. Key Responsibilities

  • Manage the clinic schedule, including booking appointments and handling all patient inquiries (phone, email, and in-person) with professionalism and care.
  • Oversee patient billing and payments while ensuring accuracy in daily accounting.
  • Hire, train, mentor, and support front desk administrative staff, fostering a positive and productive team culture.
  • Communicate effectively with the clinic owner(s), practitioners, and the wider clinical team.
  • Maintain accurate patient records while ensuring confidentiality and compliance within our EMR system.
  • Uphold a clean, organized, and welcoming front desk and waiting area.
  • Support the growth of the clinic by promoting services internally to patients and externally within the community.
  • Ensure seamless daily operations in a fast-paced, multidisciplinary clinic setting.

What We're Looking For

  • Diploma or undergraduate degree (preferred).
  • Minimum 2 years of experience in customer service, clinic administration, or a related role.
  • Prior leadership or office management experience is a strong asset.
  • Knowledge and hands-on experience with WSIB and MVA paperwork and billing protocols.
  • Familiarity with EMR systems (e.g., Jane App, Clinicmaster) is a significant advantage.
  • Excellent verbal and written communication skills.
  • Strong organizational, multitasking, and detail-oriented abilities.
  • Professional, confident, and friendly demeanor.
  • Effective problem-solving and time-management skills.
  • Tech-savvy with intermediate proficiency in Microsoft Office and Google Suite.
  • Positive energy and a genuine passion for helping people.
  • An understanding of healthcare services such as physiotherapy, massage therapy, and other wellness disciplines.

Job Types: Full-time, Permanent

Pay: $21.00-$24.00 per hour

Expected hours: 30 – 40 per week
