Position Summary
Reporting to the Project Manager or a designate, the Project Coordinator Intern is responsible for coordination of various railway maintenance and construction activities within the Greater Toronto and Hamilton Area. Working closely with the technical experts and on-site personnel, Project Coordinator Intern will be involved with all aspects of the project and contract administration, including fulfilling project requirements, promoting safety culture, conducting quality control and assurance, providing internal reports to the management team, and other tasks as assigned by the Project Manager or a designate. Project Coordinator Intern is expected to support PMO, Operations, Safety, Quality, Training, Procurement and Administration departments with a variety of initiatives and business needs. Ideal candidate will be knowledgeable in project management, heavy construction and transportation principles, have strong interpersonal skills, and be willing to learn.
Primary/Essential Responsibilities and Duties
- Assesses and/or prepares scope of work required to successfully fulfill contract requirements.
- Prepares and verifies budget and revenue estimates based on the scope of work and specifications.
- Develops and monitors project schedules, including but not limited to critical path calculation, resource allocation and delay analysis.
- Prepares and verifies work plans and methodologies, including but not limited to obtaining necessary permits, organizing resources, developing logistics and coordinating tasks between different stakeholders.
- Coordinates project activities based on the budgetary and contract requirements.
- Assists in procuring material, equipment and services, and organizing required training for the reporting personnel.
- Prepares and submits supporting reports and documents as per the project requirements responsibilities.
- Attends internal meetings, meetings with the clients and other stakeholders. Acts as a liaison between different departments.
- Monitors and evaluates performance of on-site employees and subcontractors.
- Develops all required documentation for the submission of project related invoices.
- Investigates and reports all issues arising during all stages of project.
- Prepares and submits RFIs, change order requests and other respective documentation related to the contract change management.
- Prepares and analyses cost, budget, production and other reports as requested by the management team.
- Actively engages and promotes safety culture. Ensures that safety and quality control standards are followed at all times.
- Performs other related administrative or project duties as assigned.
Required Skills and Qualifications
- Enrollment in a related field of study such as Civil, Electrical, Mechanical or Systems Engineering, Contract Management, or Project Management;
- Awareness of general concepts of project management and contract management;
- Knowledge of Microsoft Office and Microsoft Project. Knowledge of Primavera P6, Hard Dollar, and JD Edwards is an asset.
- Ability to understand, interpret and apply contract language;
- Excellent verbal and written communication skills. Proper grammar and punctuation are mandatory;
- Strong organizational skills;
- Strong attention to the details and ability to work under strict deadlines;
- Ability to work in a diverse environment.
- Punctuality and eagerness to learn.
- G2 or full G driver's license.
Working Conditions:
- Office-based position. Flexible conditions may be available after the probation period.
- Occasional weekend or night work may be required.
- Occasional exposure to outdoor construction sites in all weather conditions may be required.
- Majority of the field work is on and around live track (trains).
- Work may be in urban, rural or isolated areas. Accommodations and transportation will be provided, when required.
