The School of Psychology at UNSW is the leading Psychology school in Australia. It is located in the Faculty of Science and is recognised nationally and internationally for its excellence in research and teaching. The Clinic Administrator provides effective day-to-day administrative support for the fee-for-service aspects of the Parent-Child Research Clinic.
About the role
- $88k - $100k plus 17% Superannuation and annual leave loading

The role reports to the Clinic Director and has no direct reports.
Specific responsibilities for this role include:
- Provide high level administrative support to the Parent-Child Research Clinic within the School of Psychology.
- Act as the first point of contact for internal and external stakeholders, including clinic clients, third-party organisations, internal psychologists, and interns on all administrative matters in a timely manner.
- Respond to a range of in-person, telephone, Microsoft Teams and email enquiries from internal and external stakeholders, and initiate, action or escalate as necessary.
- Manage the clinic diary and maximise efficiency by scheduling and/or re-scheduling appointments and maintaining waitlists for clinic services.
- Manage payment to psychologists and manage client payments via Halaxy online management software and UNSW online payments system. Follow up on outstanding accounts, maintaining accurate clinic billing and payment logs.
- Liaise with Medicare and other external stakeholders.
- Conduct general marketing tasks such as organising advertising and posting to clinic social media accounts.
- Undertake clinic-related induction training for interns and clinicians including access to systems and building and site orientation.
- Manage client records on Halaxy software.
- Conduct general office duties, such as filing, monitoring stock of office supplies, cleaning/tidying, and general clinic upkeep.
- Maintain a high level of confidentiality when dealing with sensitive client information and adhering to relevant ethical/legal guidelines around privacy, confidentiality, and information security.
- Ensure clinic protocols and safe work procedures are kept current and compliant.
- Attend and contribute to weekly lab meetings and clinic assessment supervision meetings with the clinic director and team.
- Provide regular communication with Clinic Director around any major issues/ changes.
- Provide effective specialist advice relating to administrative guidelines, processes and activities.
- Participate in relevant projects and business improvement activities to streamline processes and facilitate administrative efficiency.
- Align with and actively demonstrate the Code of Conduct and Values.
- Cooperate with all health & safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the psychosocial or physical health and safety of yourself or others.

To be successful in this role you will have:
- Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
- Demonstrated administration experience, preferably relating to working in a psychology and/or health clinic.
- Advanced time management, organisational and problem-solving skills, with meticulous attention to detail and the ability to meet deadlines.
- Well-developed interpersonal and written and verbal communication skills.
- Demonstrated experience providing effective customer service and support to clients at all levels.
- Ability to make sound judgements and work both independently and as part of a team in a research environment with people from diverse backgrounds.
- Excellent computer skills and previous experience with Microsoft Office suite.
- An understanding of and commitment to UNSW's aims, objectives and values in action, together with relevant policies and guidelines.
- Knowledge of health & safety (psychosocial and physical) responsibilities and commitment to attending relevant health and safety training.
