Senior Fund Administrator

Role overview
ARK Consultancy Partners is hiring on behalf of a growing boutique fund administrator for a Senior Fund Administrator
based in Halifax, NS. This is a full-time, on-site role for a hands-on fund administration professional who enjoys preparing NAVs end-to-end and wants to help build out a local team and office during the first year. The platform services private equity, real estate, and credit funds, so the role offers broad exposure across alternative asset classes.
Responsibilities
- Prepare full monthly NAVs end-to-end for assigned funds, including pricing, accruals, fee calculations, waterfall mechanics where applicable, and investor allocations.
- Maintain the general ledger and investor records in a proprietary fund accounting system, ensuring accuracy and completeness.
- Perform cash, position, and P&L reconciliations, and resolve breaks with investment managers, administrators, custodians, and other service providers.
- Prepare financial and investor reporting packs, capital account statements, and ad hoc analysis on fund performance.
- Support year-end audits and regulatory/reporting obligations by preparing schedules and responding to auditor and regulatory queries.
- Document, refine, and enhance BAU processes, controls, and checklists to support scalable growth.
- Contribute to the build-out of the Halifax office in the first year, including onboarding new funds, helping design workflows, and supporting recruitment and training of junior staff as the team grows.
- Act as the primary point of contact for certain managers and investors, providing timely, high-quality service while coordinating internally with investment and operations teams.
Qualifications
- Strong background in Finance, Investments, and Fund Administration, ideally with experience across private equity, real estate and/or credit funds.
- Proven experience preparing NAVs end-to-end, with 4–8+ years in fund accounting or fund administration.
- Proficiency in accounting and financial reporting practices, with strong analytical skills to assess fund performance and resolve discrepancies.
- Detail-oriented and highly organized, with the ability to manage multiple priorities and deadlines in a lean, entrepreneurial environment.
- Familiarity with fund accounting systems (experience adapting to proprietary platforms is an asset) and strong skills in Microsoft Office, particularly Excel.
- Expertise in or strong familiarity with compliance requirements and industry best practices relevant to alternative investment funds.
- Bachelor's degree in Finance, Accounting, or a related field; CPA or CFA designation is an asset.
- Strong communication skills and the ability to work effectively with internal stakeholders and external clients/managers.
What's on offer
- Competitive compensation aligned with the Halifax market, including performance-based bonus potential.
- The opportunity to help build a business, team and office from the ground up, with meaningful influence over processes and ways of working.
- Exposure to private equity, real estate, and credit strategies in a close-knit, entrepreneurial team.
- Potential for longer-term upside through carry, bonus linkage to business growth, or equity participation, to be discussed with shortlisted candidates.
