Front Desk/Health Services Facilitator

High Point Wellness Centre (HPWC) is looking for a passionate and committed Front Desk Health Services Facilitator to join our team. This individual should demonstrate a high standard of work excellence and thrive on working in a customer service environment. Patient care comes first at HPWC so we are seeking a candidate who has passion for helping people and skills to deliver superior Customer Experience. The successful candidate is someone highly motivated who takes initiatives, can work independently and in a team environment and manages time effectively.

HPWC is a multidisciplinary clinic which has been serving the GTA for over 40 years with services that include: Chiropractic, Physiotherapy, Naturopathic Medicine, Massage Therapy, Dietician, and Personal Training. We provide patient care to Individuals and deliver wellness programs to Corporate sector.

Mandatory Requirements:

  • Must strive to excel every day and have superior customer service skills
  • Ability and willingness to work shifts during the hours of 6:30am and 7:30pm from Monday - Friday and 8:30am to 2:30pm on Saturday
  • Keyboard, computer and typing skills
  • Time management skills
  • Attention to detail
  • Ideal candidate should work well independently and as part of a team
  • Demonstrate reliability, cooperation and positive attitudes to support a pleasant environment
  • Excellent command of English language both oral and written

Front Desk/Health Services Facilitator Duties:

  • Greet patients respectfully, pleasantly, professionally and be able to convey concern, relate tactfully and sympathetically at all times.
  • Perform reception and clerical duties such as - answer telephone calls, email and voice mail management
  • Manage phone/ email/ fax requests from patient's other health care providers
  • Schedule/ cancel/ reschedule patient appointments as required
  • Process payments
  • Check in patients in a timely and efficient process to assist in a smooth overall patient experience and workflow (including directing patients to treatment rooms)
  • Handle new patients, following procedures
  • Create letters for patients and practitioners when required
  • Ensure clinic and treatment rooms are clean and properly stocked
  • Follow opening and closing procedures
  • Balance payments
  • Provide gait scans and reports for patients
  • Support practitioners - Chiropractors, Physiotherapists, Registered Massage Therapists and other disciplines
  • Complete daily tasks as assigned
  • Understand and administer the patient registration and informed consents
  • Ensure proper documentation is recorded in patient logs and office communications using electronic medical record system (Jane)
  • Place reminder calls well in advance to inform patients of their upcoming appointments
  • Perform additional administrative tasks as needed or delegated by the management team

Experience:

  • 2+ years of work experience in a similar industry
  • 2+ years of direct Customer Service experience
  • Certificate in Medical Office Assistant and/or Office Administration an asset
  • Knowledge of MS Excel and MS Word
  • Direct billing experience with health insurance carriers a huge asset
  • Knowledge of MVA and WSIB procedures and billings a huge asset

Full-time hours: per week

Job Types: Full-time, Permanent

Pay: $19.00-$20.00 per hour
