Job Description
– Reporting to a small number of senior staff, tasks and responsibilities may include, but are not limited to:
- Manage complex calendars, coordinate meetings, and handle scheduling conflicts with discretion and diplomacy.
- Serve as the primary liaison for executive and senior staff's email communication, proactively monitoring inboxes, flagging high-priority messages and ensuring timely follow-up on critical correspondence.
- Act as a daily operational checkpoint for leadership, managing office workflows, anticipating needs, and streamlining communication to maintain focus on strategic priorities and initiatives.
- Prepare and edit correspondence, presentations, reports, and other documents on behalf of executives and senior staff.
- Coordinate travel arrangements, including flights, accommodations, itineraries, and expense reports.
- Organize leadership meetings, including preparing agendas, taking minutes, and following up on action items.
- Maintain office systems and processes to streamline administrative workflows.
- Handle confidential information with the utmost integrity and discretion.
- Compliance with and contribution to the continued development of the Landsong Environmental Health & Safety (EHS) Program.
- Adherence to the Landsong Quality Management Program (QMP).
Minimum Requirements:
- Bachelor's degree or equivalent experience.
- 5+ years of experience in executive support, administrative coordination, or related roles.
- Exceptional organizational and time management skills.
- Excellent written and verbal communication.
- Proficiency in Microsoft Office Suite.
- Ability to work independently and prioritize competing tasks in a dynamic environment.
- High level of professionalism, discretion, and judgment.
