**Job Summary**:
Elite Bindery is seeking a proactive and detail-oriented **Operations and Production Coordinator** to support daily operational functions and production activities within our bindery facility. This role plays a critical part in ensuring uninterrupted production by coordinating procurement of materials, managing vendor relationships, monitoring inventory levels, and supporting scheduling and workflow across production lines.

**Key Responsibilities**

**Operations Coordination**:

- Support production scheduling based on material availability and job deadlines.
- Collaborate with floor supervisors to ensure job dockets are properly prepared and materials are staged on time.
- Monitor job progress and communicate with internal teams to troubleshoot delays or supply issues.
- **Order Management**: Receive, process, and confirm customer orders, ensuring accuracy and alignment with production capabilities.
- **Production Coordination**: Collaborate with the Production Manager to schedule and prioritize orders, monitor production progress, and address any delays or issues.
- **Customer Communication**: Serve as the primary point of contact for customer inquiries, providing timely updates on order status and resolving any concerns to ensure satisfaction.
- **Documentation**: Maintain detailed records of orders, production schedules, and customer interactions to ensure transparency.
- **Quality Assurance**: Conduct quality checks on finished products before shipment, addressing any discrepancies with the production team to uphold quality standards.
- **Logistics Coordination**: Prepare shipping documents, coordinate with carriers, and oversee the timely and accurate delivery of orders.
- **Continuous Improvement**: Participate in identifying and implementing process improvements to enhance efficiency, reduce costs, and improve customer satisfaction.

**Qualifications**
- Minimum of 3 years in a customer service role within a manufacturing or bindery environment.
- High School Diploma or equivalent
- Experience in mailing and distribution is an asset
- Familiarity with bindery materials, finishing processes, and print production workflows.
- Proficient in MSOffice (Excel, Word)
- Strong attention to detail and ability to manage multiple priorities under tight deadlines.
- Excellent organizational and communication skills.

**Preferred skills**
- Exceptional verbal and written communication abilities.
- Strong organizational skills with keen attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Experience with purchase order, and order processing systems is an asset.
- Ability to multitask and prioritize in a fast-paced environment.
- Problem-solving mindset with a focus on customer satisfaction.
