**OPERATIONS MANAGER OVERVIEW & PURPOSE**

The Operations Manager (OP) is responsible for leading the overall administration and day-to-day operations of the Sudbury Symphony Orchestra (SSO), ensuring alignment with strategic goals. Responsibilities include, but are not limited to:

The Operations Manager works collaboratively with and reports to the Artistic Director and Executive Director. The Operations Manager will also be expected to present directly to the Board of Directors as needed.

**OFFICE OPERATIONS**

**PERSONNEL MANAGEMENT AND LIBRARY SUPPORT**

The Operations Manager, in collaboration with the AD/ED, is responsible for the recruitment, management, and retention of contractors, volunteers and employees. This includes hiring musicians, administrative staff and volunteers needed for various orchestra operations. The OM supports the operations of the Conservatory and outreach programs. Contract preparation, payment arrangements, sheet music procurement and distribution, rehearsal/performance detail communication, billet and travel arrangements, and mediation are key components of the role.

**REHEARSAL AND PERFORMANCE LOGISTICS**

The Operations Manager oversees comprehensive performance and rehearsal logistics for the orchestra, comprising of venue management including contract negotiation and setup coordination, ensuring suitable rehearsal spaces and clear communication of schedules and expectations to musicians, and handling vendor contracts for equipment rental and other services. They also coordinate the delivery, setup, and pickup of equipment, engage and manage volunteers for support roles and maintain effective communication across all stakeholders to ensure smooth operations and successful events.

**FINANCE MANAGEMENT AND REPORTING**

The Operations Manager assumes a critical role in the orchestra's financial operations, overseeing day-to-day management with strong attention to detail. Responsibilities include the collection of payments, issuance of receipts and ensuring prompt deposits to maintain healthy cash flow. They are responsible for managing invoices, ensuring timely payments and reviewing timesheets for accurate payroll processing. Working closely with the AD/ED, the Operations Manager collaboratively develops and adheres to a budget that supports the orchestra's strategic goals and operational needs. They track both revenue and expenses, providing ongoing financial oversight to ensure fiscal health and adherence to budgetary constraints. This involves regular monitoring of financial transactions, reconciling accounts, and preparing detailed financial reports for presentation to the AD/ED and Board of Directors.

**BOX OFFICE MANAGEMENT**

The Operations Manager oversees all aspects of ticketing operations, including supervision of in-house and third-party box offices. They ensure the efficient handling of ticket and subscription inquiries, manage staff or contractors responsible for ticket sales, and promptly resolve any related issues. Additionally, they focus on cultivating relationships with supporters by maintaining detailed records for ticket holders, sponsors, and funders. This includes accurate tracking of sales and commitments to facilitate personalized communication and enhance supporter engagement and satisfaction.

**FUNDRAISING & MARKETING SUPPORT**

The Operations Manager plays a crucial role in advancing the orchestra's mission through meticulous box office management and dedicated relationship cultivation with patrons, sponsors, and funders. This position requires strong leadership, a passion for the arts and organizational skills to ensure operational excellence and deliver exceptional patron experiences. It requires a motivated leader with diverse aptitudes, committed to leveraging their skills to enhance the orchestra's growth, sustainability, and community impact while embodying the orchestra’s mission of artistic excellence and cultural enrichment within Greater Sudbury.

Pay: $39,000.00-$50,000.00 per year
