Receptionist/administrative Assistant

Sports Centre Physiotherapy is seeking a dynamic person to work as a receptionist and administrative assistant. As a Receptionist/Administrative Assistant, you will be essential in ensuring smooth operations within our physiotherapy clinic. Your role will involve managing electronic medical records, handling multi-line phone systems, and providing exceptional front desk support. Your core skills in medical office experience and administrative tasks will be vital for maintaining efficient workflows. Additionally, your knowledge of medical terminology and experience with systems like Jane will enhance patient interactions and office efficiency.
**Responsibilities**:
- Accurately booking appointments.
- Excellent front desk support by answering phones and checking in patients.
- Billing, invoicing and accounts receivable.
- Communication with private insurance companies.
- Ensuring accurate communication between clinicians and patients when the patients contact the clinic.
- Processing payments for services.
- Operating Jane scheduling software.
- General office duties such as supply ordering and office organization.
- Other minor duties as required.
**What we require**:
- General computing knowledge.
- A friendly and professional disposition toward staff and patients.
- A high level of empathy for the complex health challenges that our patients are navigating.
- Excellent communication skills.
- Ability to type at 55 wpm
**It's considered a bonus if you have**:
- Experience with Jane or another EMR/patient scheduling software.
- Knowledge of physiotherapy, acupuncture, massage therapy, and/or the private healthcare system.
- Previous experience as a medical receptionist.
- Knowledge of physical medical terminology.
- An enthusiasm for sports and sports medicine.
**Hours**
- Monday, 3 p.m. to 7 p.m.
- Tuesday, 3 p.m. to 7 p.m.
- Wednesday, 11 a.m. to 3 p.m.
- Thursday, 3 p.m. to 7 p.m.
- Friday, 11 a.m. to 5 p.m.
Our clinic is open Monday to Thursday, 7 a.m. to 7 p.m. and Friday, 7 a.m. to 5 p.m. You will be required to cover other employees' absences due to vacation and illness as needed.
On-the-job training for this role may require a mix of morning and evening shifts.
**Compensation & Employment Conditions**
Hourly rate: $18/hour
Average hours per week: 20-25
Employment: Part-time, permanent
Additional benefits:
- 4% paid vacation (equivalent to 2 weeks per year for full-time employees)
- Health, vision, prescription drug, dental, life, critical illness, and long-term disability insurance (shared cost between employee and employer) (requires a minimum of 20 hours per week to qualify)
**Start date: Monday, January 13th - Monday January 20th**
There is an initial probation period of 6 months.
