The Department of Electrical and Computer Engineering is an academic department within the Faculty of Engineering, offering graduate and undergraduate programs in Computer and Electrical Engineering. This position provides administrative leadership to the academic programs of the Department, as well as providing administrative support to the Department Chair, Associate Chair, and Administrator.

**_ Job Summary:_**
Accountable for developing, implementing, and maintaining the efficient operation of an academic program or department with a focus on service strategies and fostering a collaborative team. Lead a team in providing exemplary student service using a variety of communication platflorms to prospective and current students, alumni, parents, and guests as well as campus colleagues. Requires independent decision making within a delegated area of authority.

**_ Purpose and Key Functions:_**
- Coordinate the day-to-day operations of the team to effectively deliver service to undergraduate and graduate students.
- Schedule and assign work to staff based on priorities and changing requirements.
- Develop and deliver training sessions to develop staff and ensure accuracy of work processes.
- Develop programs and services to assist current and prospective students to obtain and manage their resources throughout their post-secondary career.
- Collect, analyze, assess, and summarize information relevant to the decision making process and develop recommendations for final approval and implementation.
- Investigate questions and resolve problems concerning program, curricula, and admissions.
- Facilitate meetings with, including but not limited to, program stakeholders and student groups.
- Act as a mediator between faculty and students when dealing with various issues, including but not limited to, special accommodations, scheduling conflicts, grades.
- Meet one-on-one and provide advice to students on topics including, but not limited to, admission and eligibility requirements, and course modifications.
- Survey and monitor academic programs offered by competing institutions and conduct research into pedagogical practices.
- Conduct student surveys and review results to ensure that academic programmes are meeting the needs and objectives of both the student and the program.
- Collaborate with management to research, implement, track and evaluate procedures and processes.
- Identify and troubleshoot procedural problems and operational issues within the unit.
- Overseeing the graduate and undergraduate scheduling process.
- Develop, update and maintain training materials.
- Lead and participate in staff meetings to review, address, and discuss task schedules, priorities, improve consistency and the implementation of new policies and procedures.
- Determine and assess students for service and/or program eligibility (i.e., transcript reviews, calculating grade point averages).
- Consult and collect information from departments involved in the student life cycle of the student to ensure timelines and service delivery requirements are achieved.
- Assist with the onboarding of new staff including orientation and training.
- Review and evaluate academic records to ensure students are eligible to continue in and graduate from the program.
- Responsible for planning, implementing, and montioring ECE’s social medial and website.
- Act as an agent of change to ensure a positive staff and student experience.
- Cultivate and maintain relationships with internal and external stakeholders.
- Participate in events and meetings related to student services (i.e., recruitment events, convocation, Ontario University Fair, etc.).
- Maintain the confidentiality of applicant and current student records.
- Update and maintain content for the program website.
- Respond to staff inquiries by providing support, detailed information and advice about policies and procedures.
- Responsible for arranging department meetings/meetings and minute taker.
- Remain current with changes in internal and external policies and procedures through workshops, meetings, or reading manuals.

**_ Supervision_**:

- Provides lead hand supervision and is responsible for the quality and quantity of work of others.
- Provides orientation and shows procedures to others.

**_ Requirements:_**
- Bachelor's degree in Business or related field of study.
- Requires 4 years of relevant experience.

**_ Additional Information:_** Occasional evening/weekend work may be required. Flexible work arrangements established with manager.
