**The opportunity**:
The Undergraduate Student Advisor is responsible for advising current and prospective students on the admission requirements for the Asper School of Business and the Bachelor of Commerce (Honours) degree, including the 2+2 program. They evaluate academic histories, assess transcripts, and advise students on the necessary coursework to meet admission and degree requirements. The Student Advisor also monitors transfer credits and ensures students are enrolled in appropriate courses to meet their degree goals. They perform registration functions using AURORA and conduct degree audits using UMAchieve, making necessary adjustments to ensure degree requirements are accurately reflected.
Additionally, the Undergraduate Student Advisor handles administrative tasks for the Undergraduate Program Office, including processing forms for Deferred Examinations, Change of Grades, and Co-op Work Term Approvals. They coordinate recruitment efforts, organize orientations, and create promotional materials. The role also involves managing the uploading of course outlines, scheduling advising appointments, and preparing statistical reports. The Student Advisor is expected to work independently, adapt to changes in university systems, and contribute to special projects as required.
**The qualifications and experience we’re looking for**:
- University Bachelor's degree in a related discipline required.
- One year of directly related office experience with student contact, preferably in a university environment, is required.
- Experience working with people from diverse cultural, educational and socio-economic backgrounds, preferably in a university environment, is considered an asset.
- An acceptable equivalent combination of education and experience may be considered.
- Meticulous attention to detail is required.
- Excellent interpersonal, verbal, and written communication skills are required. Excellent time management and organizational skills are required.
- Sensitivity and cultural awareness are required.
- Demonstrated proficiency in advanced features of Microsoft Word, Excel, and PowerPoint are required.
- Demonstrated ability to adjust positively to changes in the work environment and/or software systems is required.
- Demonstrated understanding of and sensitivity to cultural diversity with the ability to relate to and communicate effectively with international students is required.
- Ability to demonstrate a high degree of analytical thinking is required.
- The ability to work with a variety of students and staff personalities in a variety of situations is required.
- Ability to work well with others in a cooperative work environment is required.
- Willingness to be flexible with work hours may be required occasionally, when attendance at an evening event is required.
- Ability to cope during highly stressful peak periods in the academic year is required.
- Ability to organize own work station and prioritize assignments and maintain accurate computer and paper files is required.
- Qualities of reliability and punctuality are required.
- Qualities such as industry, integrity, patience and tact are required.
- Demonstrated proficiency in using Adobe professional and creating fillable forms is an asset.
- Demonstrated ability to effectively use social media for delivering important information and event promotion is an asset.
- Demonstrated proficiency with internet experience and working with and/or managing websites and use of software such as RedDot or Drupal is an asset.
- Demonstrated proficiency in using Concur is an asset.
- Demonstrated proficiency in using WebEx and Zoom is an asset.
- Demonstrated proficiency in using Teams and Office 365 features is an asset.
- Demonstrated ability to effectively use appointment booking software is an asset.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
- Must demonstrate a genuine interest in helping students, high energy level and a positive attitude
