**Reports To**:SeniorVice President (SVP)
**Department**: Residential Development
The Contract Administrator will play a key role on the Residential team with the need for both independent and collaborative work. Reporting to the SVP, Residential Development, the Contract Administrator will be part of the full project life cycle. Responsible for reviewing, analysing, and maintaining accurate and detailed documentation of the associated contracts, including but not limited to, Request for Proposals/Request for Qualifications (RFPs/RFQs), proposals, purchase orders, additional service requests, tenders, bids, Letters of Intent (LOIs), Agreements of Purchase and Sale (APSs), partnership agreements and cost sharing agreements.
**R**esponsibilities: *
- Review, and provide comments on contract documents
- Cross reference and verification of related contract documentation
- Maintain database of vendor proposals with project-by-project comparisons across similar scope
- Maintain an audit file for each contract which will include original contract, all correspondence, changes/deviations, amendments, clarifications, and payment schedules
- Find efficiencies, provide strategies, and discuss with Development Managers, Accounting Personnel and Senior Leaders
- Develop and maintain templates of Request for Proposals, Requests for Qualifications, and other Request for x documents (RFx’s)
- Collaborate with Accounting and Legal regarding standardizing approval processes as they relate to budgets, budget reallocations, cheque requisitions, contract and purchase order terms and conditions
- Track, monitor and assess payments to vendors relative to accounting draws
- Provide the SVP and Senior Management with contract related reports, estimates, templates, and evaluations as requested
- Provide reporting (monthly or as required) to development managers as it relates to budgets and invoices, including costs to date, cost to complete, remaining budget and purchase order/contract amounts, etc.
- Liaise between development managers, accounting, and vendors
- Resolve disputes and claims with vendors
**Academic/Professional Requirements**:
- Graduate of a recognized University program or Graduate of a recognized technical College in project management or equivalent
- Project Management Professional (PMP) certification, contract law and CCDC knowledge is an asset
**Required Skills / Experience**:
- 5+ years of relevant contract administration work experience within the residential real estate industry and/or relevant practical experience
- Excellent oral and written communication skills with the ability to effectively communicate across all levels within, as well as, outside the company
- Exceptional organizational skills and attention to detail with the ability to manage and prioritize multiple projects
- Proficiency in MS Office 365 (Excel, Word, PowerPoint, Outlook, SharePoint, OneDrive), one or more of Adobe Acrobat, Nuance, Bluebeam
- Experience with Yardi Voyager 7.06 or 7S
- A thorough knowledge of construction and contracting principles, methods, procedures, and practices including contract administration relating to changes, claims and delays
- A comprehensive knowledge of relevant engineering, pertinent legislation, standards, and scheduling practices/methods
- Ability to interpret contract terms to resolve disagreements
