Client Management - the client support area administers the responsibilities of processing

day to day tasks associated with services provided to transfer agency issuer clients. The

main focus is complying with issuer’s regulatory responsibilities to distribute annual

meeting and other related materials to their securityholders.

Administrator for the client support area. This role involves interaction with co-workers, relationship managers, vendors, finance and issuers or their agents.

Note: This position requires being in the office 4 days/week.

Now Hiring: Administrator, Client Support Services

Key Accountabilities:
- The Administrator is required to perform a range of duties including, but not limited to:
- Department administration and support- Efficient use of Word Processing, Excel, and Database software work with the printing team- Coordinate printing projects and ensuring deadlines are met- Provide printing estimates- Prepare mailing confirmations, affidavits or statutory declarations- Update and maintain internal databases while ensuring a high level of accuracy- Provide administrative support to management, relationship managers and other staff in the department- Maintain and track various reports relevant to weekly, monthly, quarterly and yearly analysis- Create proxy files in database- Track and perform document management tasks- The Administrator will demonstrate competence in the following areas:
- Relationships: Maintain positive working relationships with others, both internally and externally- Communication: Excellent/effective oral and written communication skills- Teamwork: Work cooperatively and effectively with others to set goals, resolve problems, and make decisions to- enhance organizational effectiveness; ability to undertake self-directed tasks when necessary- Independence: Ability to work independently, ensuring outstanding matters are addressed in a timely manner- Organization: Excellent time management skills; attention to detail; the capacity to prioritize by assessing- situations to determine urgency; ability to develop a work schedule, set goals, create / implement actions plans- and monitor progress towards goals; and ability to make clear, timely decisions- Assessment: Anticipate, understand, and respond to the needs of peers, clients and securityholders to meet or- exceed their expectations. Read and analyze documents thoroughly. Attention to detail is very important- Willingness and ability to adapt to changes and responsibilities- Other duties may be assigned as necessary- Flexibility with working overtime when required.

Must Have Skills:
- Minimum 1 year experience in the corporate/commercial or securities industry, preferred.- Minimum 1 year experience in a highly administrative role within a faced-paced corporate environment- Excellent working experience with Microsoft Office Suite (Word, Excel), Gmail/Google- Experience with Database Management- Expert problem solving skills, combined with a can-do attitude- Excellent written and verbal communication skills

Nice to Have(s):
- Printing / Proxy / Transfer Agent experience is an asset
