Dispatch Manager

The Ottawa Flying Club is seeking a highly organized and proactive Dispatch Manager to lead our Dispatch and Line Staff team. This dynamic role requires exceptional communication, management, and organizational skills, as well as the ability to work collaboratively with Algonquin College and other key stakeholders.

Key Responsibilities

Staff Management
- Oversee Dispatch and Line Staff, including scheduling, training, and maintaining accurate training files.
- Ensure team members understand and adhere to company policies, procedures, and regulatory requirements.
- Delegate and follow up on tasks to ensure efficient use of company resources.
- Act as a communication bridge between staff and upper management (GM, CFI).
- Calculate and process staff payroll information.
- Manage unexpected operational incidents, including towing aircraft back to the OFC as needed.
- Conduct regular team meetings to ensure policy compliance and address staff concerns.
- Participate in the Health and Safety Committee and report workplace injuries to management.
- Support the Dispatch team directly during high-demand periods.

Flight Scheduling
- Manage and monitor the flight schedule, optimizing the use of simulators, aircraft, and instructors.
- Collaborate with Algonquin College to ensure student schedules meet program benchmarks.
- Provide scheduling reports to Algonquin College coordinators.
- Arrange flight tests, supervisory flights, and IPCs (Instrument Proficiency Checks).
- Coordinate private member flight schedules and maintain efficient booking practices.

Administrative Duties
- Oversee the intake process for new students, ensuring accurate and up-to-date files in compliance with PCC and Transport Canada regulations.
- Provide prospective members with detailed program timelines and funding options.
- Assist with audits, tax forms, and end-of-month/year accounting calculations.
- Supervise and interview high school co-op students.
- Ensure the facility’s cleanliness and coordinate with cleaning staff as necessary.

**Qualifications**:

- Proven experience in a management or supervisory role, preferably in aviation operations.
- Strong organizational, delegation, and time-management skills.
- Excellent communication and interpersonal abilities.
- Familiarity with Transport Canada regulations and PCC compliance.
- Experience with scheduling systems and administrative management.
- Experience with Point of Sales systems.
- Must possess or be eligible for a Restricted Area Identity Card (RAIC).
