**Summary**:
The Operations Manager in Commercial Property Management oversees the day-to-day physical and operational functions of one or more commercial properties, including office, industrial, and/or retail assets. This role is also responsible for oversight of the Operations Team in the region. With the support of the Operations Team, the Manager ensures the buildings operate efficiently, remain well-maintained, comply with regulations, and support tenant satisfaction. The Operations Manager is responsible for vendor management, maintenance planning, budget oversight, and the delivery of high-quality property services.
**Key Responsibilities**:
**1. Lead Operations Team**
- Provide technical and supervisory support to Building Operators
- Liaise with Property Managers and Executive to support property and organizational goals
**2. Facility & Property Operations**
- Manage all building systems (HVAC, electrical, plumbing, elevators, etc.) to ensure safe and efficient performance.
- Conduct regular property inspections and implement preventive maintenance programs such as,
- Energy Conservation and Management
- Building Recycling Program
- Water Conservation
- Environmental Program
- BOMA BEST
- Building Engines
- Property Tenant Manuals
- Health and Safety Manuals
- Coordinate tenant buildouts and capital improvement projects.
- Responsible for securing building permits for contracted
- Prepare tender documents and review tender quotations and obtain contract quotations from sub-trades
- Ensure continual progress of ongoing building programs such as energy and water conservation, recycling and environmental
- Ensure all common areas are clean, operational, and professionally maintained.
**3. Vendor & Contractor Management**
- Source, select, and manage third-party service providers for janitorial, landscaping, security, HVAC, and more.
- In co-operation with the Property Manager, co-ordinate the monthly McCOR Operations and OH&S Committee meetings.
- Negotiate vendor contracts and service agreements.
- Prepare the general contracts such as cleaning specifications; plant maintenance; and arrange for performance reviews of trades and the bidding process to ensure rates are in line with the market.
- Monitor vendor performance and ensure adherence to service level expectations.
**4. Tenant Relations**
- Act as a key contact for tenant issues related to building services, maintenance, and compliance.
- Respond promptly to service requests and resolve operational concerns.
- Review tenant plans when submitted for Landlord approval for work inside tenant spaces as well as approve selected contractors
- Support tenant onboarding, move-ins/move-outs, and coordination of facility services.
**5. Budget & Financial Management**
- Work in conjunction with the Property Manager/ Building Operations staff to gather support data and written quotes to complete the Annual Operating Budget for each property.
- Monitor monthly Expense versus Budget Report and where necessary make recommendations to ensure effective controls are implemented
- Approve invoices, process work orders, and contribute to financial reporting and forecasting.
**6. Compliance & Risk Management**
- Co-ordinate and ensure Operators maintain required Certifications/ education updates including WHMIS, First Aid/ CPR, OH&S Level 1, Supervision & Safety Courses etc.
- Maintain all building safety systems (e.g., fire alarms, suppression systems) and documentation.
- Possess all the necessary qualifications/licenses to operate the buildings in accordance with Government/Insurance regulations.
- Oversee emergency preparedness plans and lead incident response efforts when necessary.
**7. Sustainability & Efficiency Initiatives**
- Monitor and improve energy usage, recycling programs, and green building practices.
- Support corporate sustainability goals through smart operations and tenant engagement.
- Recommend payment holdbacks where deficiencies for any on-site work are identified.
- Other various duties as designated from time to time by the General Manager.
- Responsible for the development and approval of an acceptable sub-trade list for each trade category, including electrical and mechanical trades for the office portfolio.
**Qualifications**:
- Bachelor’s degree in Facilities Management, Business, Real Estate, or related field (preferred).
- 8-10 years of experience in commercial property or facilities management.
- Strong technical knowledge of building systems and operations.
- Knowledge of property management principles, laws, procedures and standards
- Experience working with property management software (e.g., Yardi)
- 5th Class Power Engineering would be an asset
- Possess strong financial and business acumen
- Capable of effective time management, able to work under pressure and meet tight deadlines
- Excellent communication, organizational, and leadership skills.
- Ability to manage multiple sites or a high-profile commercial asset.
