**What you will do**
Think you have what it takes to be our next Event Planner withing our Executive Services Team? We’re committed to hiring the best talent for the role. Here’s how we’ll know you’ll be successful in the role.
Bilingual and efficient, you will be providing administrative support with a team that is highly focused on planning and supporting meetings, events, workshops, seminars, visitor programs hosted by the Executive Council of the Bank of Canada. You have extensive experience and knowledge of hospitality best practices and protocol.
You will ensure that the administration and coordination of the day-to-day activities and pre-planning of events run smoothly and on time and assists in delivering the objectives of that office. With a view of Digital First, you will be providing ideas on changes to the administrative practices and suggesting continuous improvements.
More specifically, you will:
- Carry out complex project or work activities, and work under the guidance of the Assistant Manager to resolve complex or significant issues escalated by team members to ensure that high service standards are met
- Ensure database, meeting calendar, event agendas are up to date with details for all meetings and events and ensure relevant information to reflect the status of planning is available to the event team
- Oversee the development and production schedule for any design elements (e.g invitations, event agendas)
**What you need to succeed**
As a career Event Planner, you need excellent oral and written skills as well as strong interpersonal skills to include everyone, namely individuals at all levels, including senior external contacts. You also need to inspire confidence by taking accountability for what needs to get done, working with mínimal direction, showing initiative and being flexible while taking on multiple priorities under tight deadlines. Within this role, being able to think ahead, prioritize and organize work effectively, research and process information and logically assess its implications is also key.
You will be required to maintain a high level of accuracy, provide special attention to quality and details even as priorities changes and urgencies arise. As part of our great team, you’ll work both independently and in a team environment where mutual support is essential. You will also need to respect the confidentiality of the information that you’ll be privy to and exercise sound judgment while having the ability to understand the Bank’s mandate and internal workings.
Additionally, you must:
- Be able to work flexible hours and do overtime as required
- Be able to bend, stand/sit for long periods of time and to lift boxes that weigh up to 10 kg
- Have valid Food Handlers Certificate and Smart Serve Certificate and be prepared to re-certify as required
- Be proficient user of Word, Outlook, Excel
**Nice-to-have**:
- Working knowledge of SharePoint
- Sound knowledge of the Bank’s organizational structure
- First Aid certificate
**Your education and experience**
The position requires a post-secondary diploma/degree/certificate in a relevant field (e.g., event management, event planning, hospitality), three years of experience coordinating events and/or meetings and have service experience in the hospitality industry or an equivalent combination of education and experience may be considered.
**What you need to know**
- Language requirement: English and French essential (bilingual) with a minimum starting level of functional (level 4) in second official language. Training may be provided to help reach the required level of fully functional (level 5) in second official language.
- Priority will be given to Canadian citizens and permanent residents
- Security level required: Be eligible to obtain Secret
