Your responsibilities will include coordinating clinic activities, managing schedules, and maintaining efficient communication between students, instructors, and clients.

**Clinic Coordinator Key Responsibilities**:

- Create and maintain a live schedule for student therapists, instructors, and clinic sessions.
- Monitor student attendance during clinic hours and maintain accurate records.
- Collect and track feedback from clients and students to enhance clinic services.
- Create and manage sign-up processes for clinic appointments via Moodle.
- Update schedules for clinic instructors and provide necessary support.
- Maintain accurate client records and updates in Rosy booking software
- Assist with student-related administrative tasks and services. Including helping students access the support needed (i.e. SALT Modifications for modified duties and accelerated clinic schedules) and creating individualized flexible schedules for students who have complicated work schedules or childcare complications.
- Develop and maintain clinic policies and procedural documents.
- Provide administrative support to the Clinic Manager.
- Schedule and organize clinic team meetings.
- Create and manage communication channels for clinic staff.
- Develop and maintain a comprehensive calendar for clinic staff.
- Develop and maintain calendars to track student cohorts in the clinic,
- Assist reception with client inquiries and appointment scheduling.
- Create a dedicated schedule for student mentors.
- Help maintain updated documents across different campuses.
- Organizing Spa Days and special events
- Create a Moodle sign up for spa days.
- Go into classes in person to see if students want to sign up (If needed)
- Prep all supplies for spa techniques ahead of time (Organize towels, pre measure supplies for foot scrub, set up foot scrub kits ahead of time)
- Plan, order and pickup food for the clients and students for the spa day, ensuring that food was kept refrigerated and put out at the correct times to preserve food safeness)
- Work with the Clinic Supervisor to create a schedule for the spa day
- Create a special live schedule for the spa day (With the ability to rotate students around so all students get some experience, and the ability to track the type of SPA technique requested by the client.)
- Print and Prep Clinic Orientation Folders.
- Submit orders for supplies to reception before the first Friday of the month.
- Make sure that the clinic cupboard is stocked with pens, feedback forms, and student business cards.
- Create a student tracking binder for each incoming cohort.
- Update welcome to clinic PowerPoint, handouts, and a sign-up sheet for each new incoming cohort.
- Attend the new cohort’s class and walk them through the Moodle sign-up, and answer any questions that arise.

**Qualifications**:

- Diploma or equivalent experience in administration or related field.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and scheduling software.
- Previous experience working in a massage clinic or similar is preferred.
