The BCFMA is actively seeking an innovative, proactive and solution oriented Office Administrator to join our team for a temporary position in our Burnaby office. This position is expected to last six months however, it may be extended based on operational needs.

**What can I expect as an Office Administrator?**

The Office Administrator is responsible for supporting the management and staff with administration functions including facilities, asset management, employee record keeping and information management. The role requires excellent interpersonal communication skills and the ability to handle complex and sensitive issues with diplomacy and sound judgment.

Each day will bring new challenges and achievements and you can expect this role to include some combination of the following:

- Maintaining current and thorough knowledge of collective bargaining agreements, BCFMA policies, procedures and case management system to successfully perform administrative responsibilities and support management and other office components.
- Administering aspects of personnel functions including maintaining union and excluded employee personnel files, benefits administration and processing of time and leave management requests (e.g. timesheets, vacation requests, leaves of absence and short and long term disability claims).
- Maintaining day to day operation of the physical office; purchasing, maintaining/disposing/tracking of office assets and furnishings, ensuring adequate inventory of office supplies and administering archival process for closed files including file preparation and arranging off-site storage.
- Reviewing, approving and performing administrative financial responsibilities including approval and reconciliation of petty cash, cheque safe keeping, credit card purchases and vendor payments
- Preparing and reviewing reports as required including seniority, union business, salary increments and leave entitlement
- Supporting health and safety procedures in accordance with legislative requirements as an active employer member of the health and safety committee.
- Organizing travel arrangements for managers and other staff as required.

**What education and experience will you need to be successful?**
- A high school diploma; post-secondary education or studies including courses in office administration or a related field would be considered an asset.
- A minimum of three years of related experience working in a position that combines administrative work along with public contact and/or significant interactions with others would be an asset.
- Competency in handling confidential and sensitive information with discretion.
- Strong organization and communication skills with the ability to work efficiently and meet deadlines in a timely manner.
- Strong MS Office skills, keyboarding proficiency and mathematical aptitude.

The starting salary for this position is $50,000 per year which will be prorated based on the length of the temporary position. Please note this position is excluded from union membership. An eligibility list may be established to fill future temporary and permanent vacancies.
