**Job Overview**
King Street Family Physicians is an established and busy office. The practice is made up of 4 physicians, each having their own dedicated administrator. We are a close-knit team and we value personality fit as well as professional qualifications.

**Responsibilities and Duties**
PHONES: The right applicant will be comfortable with answering and making phone calls.
Phones are answered in the moment whenever possible to keep the office moving along smoothly. You will also be responsible for:

- Reaching out to patients to arrange appointments and follow-ups.
- Calling patients to remind them of upcoming appointments.
- Keeping a calm and approachable presence on the phone so patients are more willing to share ailments and concerns. This helps prioritize appointments and also allows patients to feel heard and understood.

RECEPTION: Our office works to be a welcoming space in which our patients feel comfortable.
When patients are in the office you will be responsible for:

- Greeting and acknowledging patients warmly as they enter.
- Checking demographics and contact information as they are checked in for their appointment.
- Performing weight/height checks, urine samples and/or gathering any other information needed in advance of the appointment.
- Assisting with patient flow in and out of exam rooms.

PATIENT CHARTS: We are in transition between EMR and paper charts so there will be a period where you are responsible for both the physical and digital copies of patient files. You will be responsible for:

- Filing paper charts in alphabetical order for easy access and searching
- Keeping paperwork and reports organized within the chart by keeping different types of reports in their own designated tab section.

- Scanning and filing paper copies of reports into digital copies to be stored in the patient’s digital chart.
- Printing, faxing (digital and physical) and gathering reports for referrals and specialist notes. For you, this will become less often as the physician will be mostly doing this directly from the EMR.

OFFICE OPERATIONS: Office Administrators are expected to perform various duties throughout the office to ensure seamless patient and physician interactions. You will be responsible for:

- Washing, drying and folding laundry (ie. Reusable gowns, drapes, etc)
- Sanitizing and wiping down exam rooms after use and between patients.
- Washing instruments after procedures
- Operating the autoclave to industry standards to ensure full cleaning and sanitization of procedure equipment.
- Placing orders for various office equipment when needed. Vaccines, office supplies, medical equipment etc.

**Qualifications**
- Strong organization skills and the ability to plan and prioritize your workload and manage your time well; you will need to be efficient and accurate.
- Strong communication and interpersonal skills, to deal with patients and their relatives, as well as a wide variety of medical staff
- The ability to deal with personal, confidential and sensitive information and a respect for data protection and medical ethics.
- Medical Administration Training
- Knowledge and familiarity with Medical terminology and language
- Familiarity with Telus PS Suites or other EMR system would also be helpful, but not required.

**Job Types**: Part-time, Permanent
Part-time hours: 32 per week

**Salary**: $20.00-$30.00 per hour

- 8 hour shift
- Day shift
- No weekends
