- This position is responsible for providing daily leadership and direction relating to student enrolment, academic scheduling, registration, progression, student records and graduation. The position supervises the Supervisor Student Records and will have overall oversight of the Records and Academic Scheduling team and is responsible for management of the day-to-day operations for records, transfer credit and scheduling. Working closely with the Associate Registrar, Records and Systems, the incumbent supports a student-centric approach and works on projects to improve business processes in the Registrar’s Office, including work on configuration, data clean up and data accuracy/integrity issues as it relates to the Student Information System and related software.**Job Duties/Responsibilities**

**Leadership and Operations**

1. Provides leadership to the Records and Scheduling team and ensure the efficient, effective and consistent operation of the unit.
- 2. Establishs and maintains a departmental climate that supports student-centered service and reflects the mission, vision and values of the Registrar’s Office and of the College.
- 3. Works cooperatively with the management team to ensure the Registrar’s Office is a professional work environment.**Projects, Business Process Improvements, and Reporting**

4. Under the direction of the Associate Registar, Records and Systems, ensures the integrity of the Banner Student module by maintaining controls, rules and validation tables relating to curriculum administration, student records and related data. Develops internal documentation and user training in support of these systems. Recommend revision and optimization of the Banner Student module as the College evolves.
- 5. Works collaboratively with Registrar’s Office and other College staff on strategic initiatives and projects.
- 6. Acts as a Banner Student Distributed Security Manager (DSM), assigning security access to Banner Student Forms.
- 7. Under the direction of the Associate Registrar, Records and Systems and working with the Business Analyst, evaluates and author technology proposals, review and evaluate functional and/or technical specifications and business requirements (new technology, customizations, bolt-ons, etc.) as they relate to student systems in the Registrar’s Office.
- 8. Liaises with the College’s Reporting department to ensure the correct interpretation of student data to meet the College’s reporting needs including the Central Data Warehouse (CDW) and VCC Business Intelligence Tool (e.g. Cognos).
- 9. Participates with the Registrar’s Office management team in the research, preparation, and review of draft policies.
- 10. Provides operational and ad hoc reporting on student related data to the Registrar’s Office and other College departments.
- 11. Responsible for operational reporting and data integrity in the Banner Student module, under the direction of the Associate Registrar, Records and Systems.**Human Resources and Administration**

12. Assists in attracting, retaining and developing staff by implementing recruitment and selection strategies and providing orientation and training to staff.
- 13. Monitors workload and assesses performance to ensure adequate operational needs are met, and employs strategies such as coaching and mentoring when appropriate in order to enhance performance.
- 14. Supervises and provides leadership to staff through encouraging dialogue, providing guidance and facilitating resolutions to work issues. Assists team members to define shared and individual goals, meet target dates and deadlines and ensure the alignment of team goals.
- 15. Hires, develops, evaluates and disciplines staff according to established College policies and consistent with collective agreement provisions.
- 16. Assists the Associate Registrar, Records & Systems in managing the department’s staff and unit planning, implementation of projects, and operating a capital budget.**Other**

17. Represents the Registrar’s Office or the College on appropriate internal and/or external committees or agencies.
- 18. Assumes additional responsibilities and duties, as assigned by the Associate Registrar, Records & Systems.
- 19. Acts on behalf of the Associate Registrar, Records & Systems, as needed.
- 20. Performs other related duties, as required.**Qualifications**

**Education and Experience**
- Bachelor’s degree in a relevant field, plus a minimum of five (5) years recent related experience, preferably supporting the Registrar’s Office, including supervisory experience in a union environment and experience in implementing new technology-based systems.
- Or an equivalent combination of education, training and experience may be considered.

**Skills and Abilities**
- Demonstrated ability as a functional analyst administering an ERP or student information system, preferably in a Registrar’s Office.
