**OFFICE ADMINISTRATOR JOB DESCRIPTION**
**OVERVIEW - SIERRAS OF ERINDALE - 166 UNIT CONDOMINIUM PROJECT**
This mature adult building has all the luxuries like a first-class resort: A meeting room with a kitchenette, theater room, full size swimming pool, hot tub and change area, library, rec area with card and pool tables, entertainment room with full kitchen, outside BBQ area, public bathrooms on all floors, underground parking with a car wash bay, work shop and storage areas in designated parking spots, onsite maintenance, mail room and 8 guest rooms.
This property is managed by the Board of Directors with a fulltime Maintenance Employee and a full-time Housekeeping employee who report to the Board of Directors.
**General Responsibilities**:
- The office administrator will report directly to the President of the Board or their designate.
- The office administrator will work in liaison with the Board of Directors involved in the activities within the Complex and perform all administrative duties outlined and assigned by the Board of Directors.
- The office administrator will perform reception, bookkeeping, and other administrative duties, including acting as a liaison between residents and the Board of Directors and/or the Building Manager.
- Daily work hours will comprise (6) hours of flex-time per day, Monday to Friday, excluding statutory holidays. Normal hours will be 8:30 AM to 3:00 PM. (30 hours/week with 30 minute lunch break)
- The office administrator agrees to keep all business of the Sierras of Erindale confidential.
- Since the residents of the Sierras of Erindale are generally seniors, who may be considered a vulnerable population, all employees are required to have a criminal record check. The cost of the check will be paid by the Sierras of Erindale.
**DUTIES**:
- Maintain financial accounting records on the computer using QuickBooks software with regular updates and backups.
- Receive and process payments from residents for condo fees, parking, car wash, guest room, Sierras room, and craft room rentals, etc.
- Deposit semi-monthly deposits to financial institution and reconcile statements.
- Process incoming and outgoing mail.
- Prepare correspondence such as board minutes, letters, reports, faxes, etc.
- Attend board meetings, budget meetings, annual general meetings, and other general meetings as required and record and type minutes from the said meetings.
- Maintain and update administrative files and archive outdated files.
- Update the front security control panel as required.
- Maintain a printed copy of the Condo Corporation Minute Book (since Condo inception) and archive in fireproof filing cabinet.
- Prepare and present at the March Board Meeting a printed report of the Security Key and Parkade Remote Control listing all people in possession of each.
- Prepare and Present at the August Board Meeting a printed report of all Condo parking spaces rented, listing to whom and revenue generated.
- Maintain an inventory list of Condo Corp furniture and equipment with annual updates printed for the file.
- Welcome new residents and present them with information and documents for an informed transition to Condo life.
- Prepare and issue “Schedule C” & “Estoppel Certificate” as requested by realtors or prospective purchasers.
- Maintain a list or register of all assessed owners of condo units and financial institutions that have a vested interest in Condo Corp units. (Provide a printed copy to September Board meeting prior to Condo Corp Annual General Meeting.)
- Provide regular inspection of AED and initial inspection tag.
- Act as Editor and Publisher of the monthly “Condo Connection” and issue within 10 days of Board meeting.
- Carry out other duties as assigned by Board of Directors.
**RENUMERATION**
Salary range for the Permanent Part-Time Office Administrator $29,640 to $39,000 plus benefits based on qualifications, time served in position and employee reviews and employee funded Blue Cross Group Plan available.

**Education**:
- AEC / DEP or Skilled Trade Certificate (preferred)
**Experience**:
