Reporting to the Managing Partner and Operations Manager, Office Administrator/Executive Assistant is responsible for managing the efficient administration of the Office. The position oversees the flow of information within the office and between head office (Beverly Hills), prepares correspondence with the clients, manages calendars, and prepares reports and presentations. The Office Administrator/Executive Assistant also acts as a liaison with other The Agency branches and external contacts.

- 6.5 hours per day

**Education & Experience**
- High school diploma.
- Courses or other experience in housing and/or real estate and/or Law firm preferred.
- 1-2 years’ experience in managing the administrative aspects of the office operating within a fast paced, complex environment.
- An equivalent combination of education, training, **ATTITUDE** and experience
- BC drivers’ license required.
- Experience working in a real estate office an asset.

**Knowledge, Skills, and Abilities**
- Sound knowledge of the principles and practices of managing the administrative activities for the office.
- Ability to exercise sound judgment and tact in dealing with confidential matters.
- Acting as the strong point of contact among executives, employees, clients’, and other external partners/stakeholders and build strong relationship to accomplish objectives.
- Managing information flow, coordinate work with others, keep CEO apprised of issues and adapt to changing priorities in a timely and accurate manner.
- Managing executives’ calendars and set up meetings, travel, and accommodation arrangement, run errands, drive to appointments occasionally.
- Ability to work independently with limited supervision, research and assess issues.
- Must be fluent in all forms of social media.
- Format presentation for internal and external communication
- Screen and direct phone calls and distribute correspondence, take minutes during the meeting.
- Organize and maintain office filing system, mails, completing administrative forms, file, organize, scan, copy and fax documents.
- Excellent verbal and written communication, organization, time management and expediting skills.
- Good understanding of Microsoft office (Word, Power-point, Excel)
- Ability to pick up new software quickly.
- Attention to detail.
- Friendly, positive, and professional demeanor
- Excellent Communication skills
- Knowledge of Canva, In Suite or other marketing/graphics programs an asset
- Light office cleaning (empty dishwasher, sweep/vacuum as necessary, take out garbage etc.)

**Salary**: $22.50-$26.50 per hour
