**Events Coordinator**

Reporting to the Leisure Events & Marketing Supervisor this role develops and maintains relationships with sponsors, advertising customers, and third-party service providers and secures revenue through event sponsorship and various advertising opportunities in Town facilities.

**Duties and Responsibilities**
- Leads the organization of sponsorship acquisition, including sponsorship promotion, communication, invoicing, event participation and appreciation which includes on-site event presence and communication.
- Secures and prepares grants to support the successful execution of Town events.
- Promotes and actively solicits sponsorships to achieve prescribed annual goals. Prepares and performs client presentations outlining the Town’s various sponsorship opportunities.
- Develops and maintains a corporate sponsorship database.
- Coordinates the facility advertising program at Town facilities.
- Responsible for all file and contract maintenance, coordination of invoicing, negotiation of terms, and implementation and processing of agreements for all of the above.
- Researches, prepares and secures various grants to support the operation and expansion of Town events.
- Liaises with clients and designers to develop a clear understanding of the clients’ promotional requirements including assisting with the content and design of the print material as required.
- Maintains statistics and records and prepares reports making recommendations in the areas of needs assessment, evaluation, policy and procedures to the Supervisor.
- Works with external organizations and oversees the permitting process for third party events at the new Public Square.
- Establishes and manages a permitting process for all third-party events held at the Public Square
- Communicates and collaborates with Town staff to ensure all necessary arrangements are made for the successful execution of third-party events.
- Assists with the development of municipal events including the planning, scheduling, budgeting, risk management, promotion, execution, and evaluation of programs and events.

**Key Competencies and Qualifications**
- Degree in Advertising and Marketing, Business Administration or related discipline.
- Diploma or certificate in Event Management and/or Graphic Design would be considered an asset.
- Four years of experience in marketing, sales, fund development, print advertising and/or promotion.
- Thorough working knowledge of advertising and sponsorship concepts and strategies.
- Experience in grant writing, including researching, preparing and submitting successful grant proposals to secure funding for programs and events is required.
- Strong negotiation and persuasion skills to secure and retain sponsors/advertising clients.
- Excellent presentation and report writing skills to present new ideas and concept to the customer and potential sponsors.
- Ability to deal courteously and effectively with tact and diplomacy with all levels of staff, the public, community groups, agencies/organization, and other departmental contacts.
- Proficient with information technology systems including Microsoft Office. Experience with contact/information management software would be an asset.
- Exceptional organizational skills, with the ability to prioritize work and meet deadlines under pressure.
- Strong communication and customer service skills and ability to deal courteously and effectively with internal and external contacts.
- Ability to promote a culture of inclusiveness and work with a diverse population of employees, participants, agencies and the public.
- Availability to work flexible hours as may be required for meetings or events.
- Ability to complete a Criminal Record and Judicial Matters Check upon hire.

The position offers a salary range of $72,783 to $88,468 (2025 rates) based on a 35 hour workweek plus a competitive benefit package and an option for flexible work arrangements.
